Job Overview: The Programme Management Assistant position is integral to the Secretariat for the Vienna Convention and its Montreal Protocol, located in Nairobi. The incumbent will support various administrative and programmatic functions, including data management, meeting coordination, and budget monitoring. The role requires a proactive approach to managing information and facilitating communication among stakeholders involved in the implementation of the Montreal Protocol. The assistant will be expected to compile and analyze data related to controlled substances, assist in the preparation of budget reports, and ensure effective logistical support for meetings. This position is crucial for maintaining the operational efficiency of the Ozone Secretariat and ensuring compliance with international agreements.
Duties and Responsibilities: The duties and responsibilities of the Programme Management Assistant include:
Supporting research and data analysis on the production and consumption of substances controlled under the Montreal Protocol.
Assisting in the recording and analysis of data submitted by parties to the Protocol.
Processing and updating accounting framework data for essential uses into the database.
Responding to queries from members of the Implementation Committee and implementing agencies.
Preparing and maintaining electronic files and drafting correspondence related to the Implementation Committee's work.
Assisting with logistical preparations for meetings, including travel arrangements and document management.
Contributing to budget preparation and monitoring expenditures against approved budgets.
Assisting in the collection and analysis of data for reports and presentations.
Performing other duties as assigned by supervisors to support the overall objectives of the Ozone Secretariat.
Required Qualifications: Candidates must possess a high school diploma or equivalent. Supplementary training in accounting is desirable. A minimum of seven years of progressive experience in general office support, programme management, or administrative assistance is required. Candidates with a first-level university degree may qualify with five years of relevant experience. Proficiency in MS Office Suite and experience with Enterprise Resources Planning (ERP) systems are essential. Experience in data analytics and preparing budget performance reports is also desirable.
Educational Background: The educational background required for this position includes a high school diploma or equivalent. Additional qualifications in accounting or related fields are considered advantageous. Candidates with higher education degrees may have reduced experience requirements, emphasizing the importance of formal education in this role.
Experience: The position requires a minimum of seven years of relevant experience in office support, programme management, or administrative roles. Candidates with a first-level university degree can qualify with five years of experience. Experience in accounting and familiarity with MS Office applications are mandatory, while experience with ERP systems and data analytics is highly desirable. The role demands a strong background in administrative functions and the ability to manage multiple tasks efficiently.
Languages: English is the mandatory working language for this position, with a required proficiency level of UN Level III in reading, writing, listening, and speaking.
