Job Overview: The Programme Assistant plays a crucial role in supporting the Youth, Gender, and Population & Development programme teams at UNFPA. This position involves providing comprehensive programme and administrative support, including document management, to facilitate the planning, implementation, and monitoring of various programme activities. The Programme Assistant will work closely with Programme Specialists and Analysts, ensuring that all logistical and administrative tasks are executed efficiently. This role is vital for maintaining effective communication and collaboration among team members and external partners, contributing to the overall success of the UNFPA's mission in Mozambique.
Duties and Responsibilities: The Programme Assistant is responsible for a wide range of duties, including but not limited to: assisting in the preparation and monitoring of the Operational Management Plan (OMP); supporting the development and revision of annual and quarterly work plans; managing project registrations in the Atlas system; processing requisitions and ensuring timely follow-up on payments; organizing travel and logistics for staff and partners; maintaining an efficient information exchange system; preparing documentation for meetings and workshops; translating documents between Portuguese and English; managing correspondence and filing systems; providing research support; and ensuring compliance with UNFPA policies and procedures. The role also includes acting as a backup for other Programme Associates and performing additional tasks as assigned by supervisors.
Required Qualifications: Candidates must possess completed secondary level education as a minimum requirement. A first-level university degree in business/public administration, finance, economics, or a relevant social science discipline is desirable. Additionally, candidates should have a strong understanding of project and programme management principles, as well as proficiency in office software applications and financial management tools. Previous experience working with the UN or similar organizations is considered an asset, along with good writing and communication skills.
Educational Background: The educational background required for this position includes completed secondary education, with a preference for candidates holding a first-level university degree in relevant fields such as business administration, finance, economics, or social sciences. This educational foundation is essential for understanding the complexities of programme management and administrative support within the UNFPA framework.
Experience: Candidates should have a minimum of five years of relevant experience in project or programme management, ideally within private, national, or international organizations. This experience should demonstrate a solid understanding of administrative processes, financial management, and logistical support. Familiarity with UNFPA's operational procedures and systems, such as ERP or PeopleSoft, is highly advantageous.
Languages: Fluency in both oral and written English and Portuguese is mandatory for this position. This bilingual proficiency is crucial for effective communication within the team and with external stakeholders, as well as for translating documents and facilitating meetings.
