Job Overview:
The Administrative Assistant position at CIMMYT involves supporting various administrative activities related to consultants and students within the organization. The selected candidate will be responsible for developing databases, managing directories, and handling spreadsheets. Additionally, the role includes registering consultants' bank information in the payment system, integrating and managing consultant and student files, and ensuring the proper loading of information in the corresponding databases. This position is crucial for maintaining the efficiency and effectiveness of administrative operations at CIMMYT's headquarters in Texcoco, State of Mexico, which is conveniently located 45 minutes from Mexico City.

Duties and Responsibilities:
The duties and responsibilities of the Administrative Assistant include:
  • Supporting all administrative activities related to consultants and students of the Program.
  • Developing and maintaining databases and directories.
  • Managing spreadsheets and ensuring accurate data entry.
  • Registering consultants' bank information in the payment system.
  • Integrating and managing files for consultants and students.
  • Ensuring the proper loading of information in the corresponding databases.
  • Assisting in the coordination of grant management steps.
  • Improving donor relations and supporting internal and external audits.
  • Attending meetings with the CGIAR and ensuring that grant information, documentation, and archiving are handled correctly.

Required Qualifications:
Candidates must possess a Bachelor’s Degree in Business Administration, Finance, International Relations, Public Administration, Social Sciences, or Project Management. A Master’s degree in a relevant field such as Business Administration, Finance, Public Administration, or Project Management is considered a strong asset. Practical experience or knowledge in managing grants, including proposal writing, budget management, compliance with regulations, and reporting is essential. Candidates should also have a minimum of 3 years of experience in grant administration or as an administrative assistant, along with proven experience in data analysis.

Educational Background:
The educational background required for this position includes a Bachelor’s Degree in relevant fields such as Business Administration, Finance, International Relations, Public Administration, Social Sciences, or Project Management. A Master’s degree in a relevant field is highly desirable and considered a strong asset.

Experience:
The position requires a minimum of 3 years of experience in grant administration or as an administrative assistant. Candidates should have practical experience or knowledge in managing grants, including proposal writing, budget management, compliance with regulations, and reporting.
