Job Overview: The Operations Coordinator will play a crucial role in supporting WRI’s Global Equity Program by providing finance, operations, and administrative support. This hybrid position requires the individual to work in the office for 8 days a month, with the flexibility to be based in any of WRI's offices located in Washington DC, Africa, or India. The successful candidate will be responsible for integrating equity into their work, coordinating operations for the Land & Resource Rights Practice, and assisting the Operations Manager with various tasks related to other Equity projects. The role involves managing budgets, reporting to donors, processing contracts and subgrant agreements, ensuring grant compliance, and facilitating communication between project staff and core functions. Additionally, the Operations Coordinator will support the Global Director by managing their schedule, preparing expense reports, and coordinating travel arrangements.
Duties and Responsibilities: The Operations Coordinator will have a diverse set of responsibilities, including:
Financial Management (45%): - Manage all project budgets by monitoring monthly expenses, updating budget software, and projecting future expenses. - Coordinate project financial closeout processes, including financial reconciliation and reporting, with oversight from the Operations Manager. - Prepare proposal budgets and ensure alignment between proposed activities and budgets.
Grant Management (40%): - Manage project grants and contracts, ensuring compliance with terms and conditions under the guidance of the Operations Manager. - Regularly review, update, and monitor all transactions, commitments, and revenue prospects to support healthy financial management and prepare for quarterly projections and reviews. - Prepare financial grant reports and track narrative reporting deadlines for projects, with oversight from the Operations Manager. - Create subgrant and contract agreements with partners and contractors, process payments, and amend agreements as necessary. - Communicate with subgrantees regarding financial reporting requirements and facilitate the resolution of any questions.
Administration (15%): - Manage the Global Director’s calendar and arrange travel, including assisting with visa applications and assembling trip materials such as meeting schedules and talking points. - Prepare and monitor expense reports, ensuring that all travel expenses are charged to the correct codes. - Provide monthly timesheet guidance to Equity Center staff.
