Job Overview:
The Legal Administrative Assistant will play a crucial role in supporting the Office of the General Counsel at WRI. Reporting directly to the General Counsel, the assistant will be responsible for managing the General Counsel's calendar, coordinating travel, and preparing legal documents. This position requires a blend of administrative and legal expertise, as well as the ability to work independently and collaboratively within a team. The assistant will also be involved in implementing administrative improvements and integrating equity into their work. The role is hybrid, requiring 8 days per month in the Washington DC office, and candidates must be residents of DC, Maryland, or Virginia at the start of employment.

Duties and Responsibilities:
  • Legal Administrative Management (70%): - Manage the General Counsel’s calendar and schedule appointments with internal and external partners. - Ensure Office of the General Counsel team members are informed of relevant meetings. - Create agendas for meetings and capture detailed minutes, tracking action items. - Monitor important deadlines and due dates, maintaining a case management system. - Prepare advanced PowerPoint presentations and support the General Counsel in tracking meetings. - Attend meetings to capture accurate notes and identify administrative improvements. - Manage legal department tasks such as budget, invoice management, and document translation. - Prepare and monitor expense reports and timesheets for timely submission. - Update web and intranet sites for accuracy. - Support ongoing improvements in administrative systems and processes.
  • Operational Support (20%): - Collaborate with Executive Office Assistants to share best practices. - Assist paralegals in collecting materials for legal research and analysis. - Participate in administrative and operational meetings to represent the Office of the General Counsel.
  • Event Management (10%): - Help arrange WRI all-staff events and team-building activities. - Partner with paralegals and lawyers to support training sessions led by the Office of the General Counsel.

Required Qualifications:
- A completed bachelor’s degree or relevant work experience in lieu of a degree.
- At least 5 years of full-time professional experience in a related field, including experience assisting executives.
- Demonstrated knowledge of legal terminology and procedures.
- Strong judgment and problem-solving skills.
- Experience managing projects with competing deadlines.
- Ability to work with internal and external stakeholders effectively.
- Willingness to attend meetings outside of regular business hours as needed.
- Experience working with a geographically dispersed team.

Educational Background:
Candidates must possess a completed bachelor’s degree. Relevant work experience may be accepted in lieu of a degree, indicating that practical experience in a similar role is valued alongside formal education.

Experience:
The position requires a minimum of 5 years of full-time professional experience in a related field. Candidates should have experience assisting executives and managing projects, as well as familiarity with legal terminology and procedures. Experience in a legal office as a Legal Assistant or Administrative Assistant is desirable, highlighting the need for a strong administrative background in a legal context.

Languages:
Proficiency in verbal and written English is mandatory. Additional language skills are considered desirable, enhancing communication capabilities within a diverse work environment.

Additional Notes:
This is a hybrid position requiring 8 days per month in the Washington DC office. Candidates must have existing work authorization in the US, as WRI cannot sponsor visa work authorization. The potential salary for this position ranges from $84,000 to $95,000 gross annually, commensurate with experience and other compensable factors.
