Job Overview:
The consultancy position aims to support the Documentation Team of the Office of the Secretary of the Executive Board (OSEB) in an archiving project. The consultant will be responsible for accurately archiving, tagging, and preserving both physical and digital materials related to the Executive Board. This role involves organizing files for upload into a new digital repository, ensuring that all archival records are processed according to the ISAD(G) standard and UNICEF's retention policy. The consultant will create descriptive metadata tags, produce finding aids for archival records, and utilize Adobe Acrobat to re-scan documents into searchable PDF formats. The overall goal is to build a comprehensive historical archive of Executive Board documents and records, ensuring transparency and accessibility for public use.

Duties and Responsibilities:
  • Provide support to the OSEB Documentation Team in building a historical archive of Executive Board documents and records.
  • Process archival records according to ISAD(G) standards and UNICEF retention policy.
  • Organize electronic data, files, and physical records in preparation for digitization.
  • Create descriptive metadata tags and produce finding aids for archival records.
  • Use Adobe Acrobat Standard or Pro to re-scan documents as needed in searchable PDF format with OCR.
  • Follow OSEB archive naming conventions for new files.
  • Save and store files in online SharePoint libraries and add metadata for each file.
  • Save and store files in the trusted digital repository for public access.
  • Verify the quality of digitized files to ensure they accurately represent the original documents. 1
  • Complete any other tasks related to the archiving assignment as assigned by the supervisor.

Required Qualifications:
  • A first-level university degree in international relations, political science, global studies, area studies, archival studies, library sciences, or a related field.
  • One (1) year of experience in archiving and file preservation.
  • Strong organizational, planning, and prioritizing skills.
  • Excellent communication skills.
  • Relevant experience in a UN system agency or organization or with a UN Executive Board is considered an asset.
  • Experience working with UN official documentation and archiving documentation is an asset.
  • Ability to multitask and meet compliance deadlines is critical.

Educational Background:
Candidates must possess a first-level university degree in fields such as international relations, political science, global studies, area studies, archival studies, library sciences, or a related discipline. This educational background is essential for understanding the complexities of archiving and documentation within an international context.

Experience:
The position requires at least one year of relevant experience in the area of archiving and file preservation. Candidates with experience in a UN system agency or organization, particularly with UN Executive Board documentation, will have a competitive advantage. Languages:

Consultants are responsible for their tax liabilities and must ensure that their visa and health insurance are valid for the duration of the contract.
