Job Overview: The G5 Administrative Support position is integral to the operational and administrative functions of the ILO's Regional Office for Europe and Central Asia, located in Geneva. Duties and Responsibilities: The duties and responsibilities of the G5 Administrative Support position include:
Providing a variety of administrative and operational support services to ensure the efficient functioning of the unit.
Preparing, drafting, and finalizing general and administrative correspondence, ensuring quality control of outgoing documents.
Managing the official travel plans for the unit, including travel arrangements and visa coordination.
Initiating and processing administrative actions related to human resources and finance, ensuring compliance with applicable regulations.
Conducting necessary operations for authorizing expenditures and making disbursements, including budget preparation and documentation.
Coordinating administrative and financial support for meetings, workshops, and events, ensuring timely preparation and dissemination of materials.
Maintaining efficient filing systems and updating databases and websites.
Staying informed about changes in administrative rules and sharing relevant information with staff.
Performing general administrative tasks such as attendance records and inventory management. 1
Undertaking other related tasks as assigned.
Required Qualifications: The minimum qualifications required for this position include:
Completion of secondary education.
Excellent command of English and practical knowledge of a second working language of the Organization (Spanish or French).
A minimum of five years of work experience in general administration and office support.
Strong knowledge of office support areas and operational functions, as well as proficiency in Microsoft Office applications.
Educational Background: Candidates must have completed secondary education. Additional qualifications or certifications in administration or related fields may be advantageous but are not mandatory.
Experience: Candidates should possess at least five years of relevant work experience in general administration and office support roles. Experience with institutional resource planning systems is essential, as is familiarity with the operational and administrative functions of international organizations.
Languages: The position requires excellent proficiency in English, with practical knowledge of a second language used by the Organization, which can be either Spanish or French. This bilingual capability is essential for effective communication within the diverse international environment of the ILO.
Additional Notes: This position is a fixed-term contract based in Geneva, Switzerland. Candidates must have valid residency status in Switzerland or currently reside in neighboring France to be eligible for employment.
