Job Overview:
The Programme Assistant position is integral to the Country Office's efforts to implement UNFPA's mission effectively. This role involves providing comprehensive programme, administrative, and financial support to ensure that initiatives aimed at improving lives and promoting sustainable development are executed efficiently. The Programme Assistant will serve as a vital link between the programme and technical teams, facilitating data management and coordination efforts that empower the team to make informed decisions and maximize impact. The Programme Assistant will support the preparation, implementation, and monitoring of the country programme, ensuring alignment with organizational priorities and facilitating optimal communication flows with internal and external partners.

Duties and Responsibilities:
The Programme Assistant will be responsible for a variety of tasks, including: A. Programme and Operational Support: Assisting in the preparation, implementation, and monitoring of the country programme; drafting and reviewing correspondence; ensuring effective communication within the team and with external partners; and managing incoming correspondence. B. Event and Logistics Management: Coordinating logistical, administrative, and financial arrangements for workshops, meetings, and events; preparing travel authorizations; and arranging travel logistics. C. Data and Information Management: Maintaining and updating project files, compiling and analyzing data for reports, and managing an online filing system. D. Financial and Administrative Tasks: Preparing requisitions, processing payments, and ensuring compliance with UNFPA regulations; managing the team's calendar; and organizing travel arrangements. E. Research and Documentation: Conducting research, summarizing findings, and preparing briefing materials and presentations. F. Network and Coordination Support: Assisting in coordinating the UNFPA technical network and processing information for stakeholders. G. Additional Responsibilities: Following up on financial reports, maintaining the office filing system, and carrying out other duties as assigned by the Programme Coordinator or Operations Manager.

Required Qualifications:
Candidates must have completed secondary school, preferably supplemented by technical or university courses related to public administration, finance, international relations, or economics. They should possess at least 5 years of relevant experience, including some experience in research assistance. Previous experience within the United Nations system or other international organizations is advantageous. Strong organizational, interpersonal, communication, and administrative skills are essential, along with the ability to manage work routines with minimal supervision. Proficiency in Microsoft Word, Excel, and PowerPoint is required, and familiarity with ERP systems such as QUANTUM or UNALL is an asset. Basic knowledge of financial principles and experience with financial and spreadsheet software are also necessary.

Educational Background:
The educational background required for this position includes the completion of secondary school, ideally supplemented by technical or university courses that relate to the work of the organization. Relevant fields of study include public administration, finance, international relations, or economics. This educational foundation is crucial for understanding the complexities of the role and effectively supporting the organization's mission.

Experience:
The position requires at least 5 years of relevant experience, which should include some experience in research assistance. Candidates with previous experience within the United Nations system or other international organizations will have an advantage. The experience should demonstrate strong organizational skills, the ability to manage work independently, and proficiency in administrative tasks.

Languages:
Fluency in Portuguese and English is mandatory, both oral and written. A working knowledge of Spanish is also required, as it will facilitate communication with a broader range of stakeholders and partners in the region. Proficiency in these languages is essential for effective collaboration and support within the organization.
