Job Overview:
The position of Administrative Support for the NDC Update is integral to the United Nations Development Programme's efforts in Mexico to support the government in updating its Nationally Determined Contributions (NDC) under the Paris Agreement. This role involves providing logistical and administrative support for key events, monitoring activities related to the NDC update, and ensuring compliance with UNDP's administrative and programmatic requirements. The successful candidate will work closely with the coordinator" style="border-bottom: 1px dotted #007bff !important;">General Coordinator and other team members to facilitate communication and coordination among various stakeholders involved in the NDC process. The position requires a proactive approach to managing tasks and ensuring that all activities align with the goals of the NDC update, which aims to enhance Mexico's climate ambition and resilience.

Duties and Responsibilities:
  • Support in organizing key events: Assist in the organization of consultation forums, sectoral dialogues, and other participatory spaces related to the NDC update. Manage logistics for events, including preparing materials, organizing agendas, communicating with participants, and ensuring the availability of necessary resources for successful execution. Manage invitations, confirm participant attendance, and ensure suitable venues are available for events. Ensure that events comply with consultation process guidelines.
  • Management control and monitoring of activities: Assist in tracking and controlling activities linked to the NDC update, ensuring deadlines are met and deliverables are of high quality. Maintain organized records of activities, report progress, and track expenses related to task execution. Manage communication turn systems for the General Coordination and ensure timely responses to requests and inquiries from Semarnat and other relevant actors. Keep team members informed about important dates, events, and activities, and facilitate the circulation of documents, reports, and other relevant communications.
  • Support in secretarial tasks: Provide support in organizing the agenda for the General Coordinator, including coordinating internal and external meetings and events. Organize travel and logistics for the General Coordination as necessary. Facilitate communication between the General Coordination and other team members, as well as with external actors involved in the process. Assist in drafting and distributing internal and external communications related to the NDC update.
  • Compliance with UNDP's administrative and programmatic requirements: Assist in preparing administrative documentation to ensure compliance with UNDP's established procedures, including report submissions and resource management for activities. Collaborate with UNDP's finance and administration team for budget management and payment approvals related to event organization and NDC update activities. Ensure all monitoring and reporting requirements are met according to UNDP guidelines and deadlines.
  • Perform other functions within the functional profile deemed necessary for the efficient operation of the Office and the Organization.

Required Qualifications:
Minimum requirements include a secondary education degree. University studies (Bachelor's level) in Public Administration, International Relations, Social Sciences, or related fields will be given due consideration but are not mandatory. Candidates should have at least 6 years of relevant experience (with a secondary education) or 3 years (with a bachelor's degree) in administrative and logistical functions, particularly in event coordination, report management, and communication handling. Additionally, at least 1 year of experience in project or program administrative management related to environmental issues, sustainability, or climate change is required. Strong skills in report writing, meeting minutes, and database management are essential, along with the ability to work independently and as part of a team, demonstrating organizational and time management skills.

Educational Background:
Candidates must have completed secondary education as a minimum requirement. A bachelor's degree in Public Administration, International Relations, Social Sciences, or related fields is preferred but not mandatory. Educational qualifications will be assessed based on relevance to the position and the candidate's ability to fulfill the job requirements effectively.

Experience:
The position requires a minimum of 6 years of relevant experience for candidates with a secondary education or 3 years for those with a bachelor's degree. Experience should be in administrative and logistical roles, particularly in coordinating events, managing reports, and handling communications. Additionally, candidates should have at least 1 year of experience in managing administrative aspects of projects or programs related to environmental issues, sustainability, or climate change.

Languages:
Fluency in Spanish is mandatory for this position. Knowledge of English is desirable, especially for drafting documents or communicating with international stakeholders. Proficiency in both languages will enhance the candidate's ability to perform effectively in this role.

Additional Notes:
This position will be supervised by the Specialist for Mitigation and Adaptation Actions for the third update of Mexico's NDC and the National Programme Officer for Environment, Energy, and Resilience. The role is expected to be full-time, and candidates should be prepared to engage in a dynamic work environment that requires flexibility and adaptability.
