Job Overview: The Temporary General Service positions at FAO are designed to provide administrative, secretarial, and clerical support to ensure the smooth and efficient operation of work units. These positions are classified as junior roles and are intended for short-term appointments, typically lasting for 2 months with the possibility of extension up to 11 months based on performance and organizational needs. The objective of this recruitment call is to create a roster of applicants for various functional areas, including finance support, human resources support, office support, meetings and travel services, program support, and security services. Candidates will be assessed based on their experience and language qualifications, and the roles will involve a variety of administrative tasks that contribute to the overall functioning of the organization.
Duties and Responsibilities: The key responsibilities for the Temporary General Service positions include, but are not limited to: sorting, registering, and routing correspondence; typing and formatting routine documentation, tables, and reports; receiving, screening, and directing telephone calls and visitors; responding to routine inquiries and referring them to appropriate contacts; entering, retrieving, structuring, and updating information and data from accessible sources; maintaining office files and reference systems; initiating and tracking administrative transactions in computerized financial, travel, and human resources systems; preparing standard statistical reports and tables; supporting the organization and administration of meetings, workshops, and events; ensuring the availability of office supplies and maintenance of office equipment; preparing draft cost estimates and budget proposals; assisting with security procedures and ensuring safety during emergencies; and conducting entrance checks of people and goods.
Required Qualifications: Candidates must possess a secondary school education and have a minimum of one year of relevant experience in related positions. Proficiency in English is required, with full proficiency or working knowledge (Level C) being essential. Additionally, candidates should have knowledge of MS Office applications, internet usage, and office technology equipment. Familiarity with corporate electronic databases and systems is considered an asset. Core competencies required for the role include results focus, teamwork, communication, building effective relationships, and knowledge sharing and continuous improvement.
Educational Background: The educational requirement for the Temporary General Service positions is a secondary school education.
