Job Overview: The Programme Management Assistant plays a crucial role in supporting the planning and implementation of complex departmental programmes and projects. This position requires a proactive approach to research, data analysis, and project coordination. The assistant will be responsible for monitoring the status of programme/project proposals, ensuring that all necessary documentation is completed and submitted for approval. Additionally, the role involves budget preparation and analysis, as well as monitoring and evaluating programme/project performance. The assistant will collaborate with various stakeholders, including programme/project managers and administrative units, to facilitate effective project implementation and reporting. This position demands strong organizational skills, attention to detail, and the ability to work under pressure while maintaining a high level of professionalism.
Duties and Responsibilities: The Programme Management Assistant will undertake a variety of responsibilities, including but not limited to: assisting in the planning and implementation of programme/project activities; conducting research and compiling data on specific programmes/projects; coordinating the preparation and submission of programme/project proposals and budget estimates; monitoring and evaluating programme/project performance; liaising with various organizational units to facilitate project implementation; drafting programme/project summaries and reports; managing files and databases; providing general office assistance; and supporting the training and development of junior staff. The assistant will also be responsible for creating travel authorizations and expense reports, maintaining project inventory, and ensuring compliance with administrative procedures.
Required Qualifications: Candidates must possess a high school diploma or equivalent. Additionally, a minimum of seven years of experience in programme or project administration, technical cooperation, or a related area is required. Candidates with a first-level university degree or higher may have the minimum experience requirement reduced to five years. Experience in supporting technical cooperation programmes/projects within the United Nations system or similar international organizations is desirable, as is experience in providing guidance and training to junior staff on administrative and financial policies. Familiarity with ERP systems, such as Umoja, is also preferred.
Educational Background: A high school diploma or equivalent is required for this position. While no specific higher education qualifications are mandated, candidates with a first-level university degree or higher may be considered more favorably, particularly in relation to the experience requirements.
Experience: The position requires a minimum of seven years of relevant experience in programme or project administration, technical cooperation, or a related area. For candidates with a first-level university degree or higher, this requirement is reduced to five years. Additionally, at least three years of experience in supporting technical cooperation programmes/projects within the United Nations system or a similar international organization is desirable. Experience in providing guidance and training to junior staff on administrative and human resources rules is also beneficial, as is experience with ERP systems like Umoja.
Languages: Fluency in English and French is required for this position, as these are the working languages of the United Nations Secretariat. Knowledge of another official United Nations language is considered desirable and may enhance a candidate's application.
