Job Overview: The Protection Assistant will play a crucial role in supporting the protection team by organizing workshops, meetings, and procurement activities. The primary focus of this position is to ensure that all logistical arrangements are executed smoothly and to assist in the implementation of various protection-related initiatives. The role requires a proactive approach to managing multiple tasks, ensuring effective communication with stakeholders, and maintaining organized documentation. The Protection Assistant will also be responsible for preparing materials for workshops and meetings, as well as tracking procurement processes to ensure timely delivery of necessary resources.
Duties and Responsibilities: The duties and responsibilities of the Protection Assistant include:
Workshop and Meeting Support: - Assist in planning, organizing, and executing workshops and meetings related to protection initiatives. - Prepare agendas, participant lists, and meeting materials to facilitate effective discussions. - Facilitate communication with participants and stakeholders to ensure their engagement. - Take notes during meetings and summarize key discussions and action points for follow-up.
Monthly Reports: - Provide a comprehensive monthly report outlining activities, challenges faced, and outcomes achieved related to workshops, meetings, and procurement activities.
Workshop Materials: - Prepare and distribute necessary workshop materials and documentation to participants.
Procurement Tracking: - Maintain a detailed procurement tracking document that outlines requests, orders, and deliveries for materials and services required for the Division and meetings.
Procurement Support: - Assist in the procurement process for materials and services needed for the Division and meetings. - Liaise with vendors and suppliers to obtain quotes and manage orders effectively. - Ensure timely delivery of materials and services required for activities.
General Activities: - Provide administrative support to the Protection Division as needed. - Perform any other duties as assigned by the supervisor to support the team effectively.
Required Qualifications: The required qualifications for the Protection Assistant position include: - A university degree from a recognized academic institution, preferably in Business Administration or a related field. - A minimum of three (3) years of relevant experience in human resources, administration, and/or office management. - Strong organizational skills to manage multiple tasks and deadlines effectively. - Excellent communication skills to facilitate interactions with various stakeholders and participants.
Educational Background: The educational background required for this position is a university degree from a recognized institution. The preferred fields of study include Business Administration or related disciplines that provide a foundation for administrative and organizational tasks.
Experience: The level of experience needed for the Protection Assistant position is a minimum of three (3) years in relevant fields such as human resources, administration, or office management. This experience should demonstrate the candidate's ability to manage logistical arrangements, support procurement processes, and effectively communicate with various stakeholders.
