Job Overview:
The Logistics and Procurement Associate position is crucial for ensuring the smooth transportation of personnel and goods within the operational framework of the organization. The role involves driving official vehicles for transporting staff and visitors, performing errands as requested, and maintaining the vehicle in optimal condition. The associate will also be responsible for ensuring compliance with safety regulations and organizational protocols during transportation. This position requires a proactive approach to logistics management, ensuring that all operational needs are met efficiently and effectively. The associate will play a key role in supporting the overall operational effectiveness of the project unit and the office, contributing to the successful implementation of various initiatives.

Duties and Responsibilities:
  • Drive official vehicles for the transportation of personnel and visitors on official trips.
  • Perform errands as requested, including the delivery or collection of documents and goods from suppliers and partners.
  • Undertake missions within the country as necessary for organizational activities.
  • Ensure the proper reception and drop-off of colleagues at the airport according to official information.
  • Conduct daily maintenance of the vehicle, checking all fluids and safety components to ensure functionality at all times.
  • Maintain accurate logs of vehicle usage, including daily mileage, fuel consumption, and details of errands, and submit these records to the chief driver for verification and archiving.
  • Monitor and update insurance documents and other administrative paperwork related to the vehicle.
  • Ensure compliance with regulatory requirements in the event of an accident.
  • Operate onboard communication systems (VHF and HF radios). 1
  • Adhere to safety regulations set by the United Nations in both driving and conduct.

Required Qualifications:
  • A secondary school diploma is required.
  • A valid light vehicle driving license is mandatory.
  • Minimum of 2 years of professional driving experience is required for secondary school diploma holders.
  • Knowledge of basic mechanical skills is an asset.
  • Ability to change tires in case of a flat and perform minor emergency maintenance is essential.
  • Familiarity with key geographical locations in the assigned city (offices, ports, shops, etc.) is advantageous.
  • Knowledge of exemption and customs procedures is a plus.
  • Experience working within the United Nations system or NGOs is beneficial.
  • At least 1 year of experience using computer tools (Google or Microsoft Office) is required.

Educational Background:
The position requires a secondary school diploma as the minimum educational qualification. This foundational education is essential for understanding the responsibilities associated with the role and for effective communication and documentation.

Experience:
The candidate must have a minimum of 2 years of professional driving experience, particularly for those holding a secondary school diploma. Experience in a similar role, especially within the United Nations or NGOs, is highly valued. Additionally, familiarity with vehicle maintenance and local geography will enhance the candidate's suitability for the position.

Languages:
Proficiency in French, both written and spoken, is mandatory for this position. This requirement ensures effective communication within the organization and with external stakeholders. Knowledge of additional languages may be considered an asset but is not required.
