Job Overview: The Project Finance and Administrative Assistant plays a vital role in supporting the Workers' Center Project, which focuses on enhancing labor rights for migrant workers in Jordan's Qualified Industrial Zones (QIZs). This position is crucial for ensuring the smooth operational support of the Workers' Center, which provides essential services to garment workers. The assistant will be responsible for both administrative and financial tasks, working closely with the Project Coordinator and the regional team. The role involves compliance with legal and administrative requirements, coordination of project implementation, and providing general office assistance. The assistant will also be involved in monitoring project delivery and ensuring that all financial records are accurately maintained. This position is integral to the success of the project, which aims to improve the well-being of workers by providing them with a safe space and access to key services.
Duties and Responsibilities: The duties and responsibilities of the Project Finance and Administrative Assistant include:
Supporting the Workers’ Centre Association in complying with legal and administrative requirements for the Implementation Agreement with ILO.
Acting as the focal point for administrative and programming coordination, liaising with various stakeholders including the Workers’ Center in Irbid and the ILO Amman office.
Providing general office assistance, handling routine administrative tasks, and advising staff on administrative procedures.
Collecting information related to project activities and ensuring outgoing documents conform to established procedures.
Drafting correspondence and reports related to project activities.
Arranging meetings and appointments for incoming missions.
Assisting in monitoring and maintaining financial records, verifying payment claims, and preparing payment vouchers.
Supporting the procurement process in line with ILO guidelines.
Liaising with technical focal points on administrative, finance, and procurement matters. 1
Performing other relevant duties as assigned.
Required Qualifications: The required qualifications for the Project Finance and Administrative Assistant position include:
Completion of secondary school education.
Formal training in accounting and/or finance is an asset.
At least five years of operational or administrative support work experience, particularly in financial operations support services.
Experience working with an enterprise resource planning (ERP) system is preferred.
Knowledge of financial administration and accounting techniques, as well as international accounting standards such as IPSAS.
Educational Background: Candidates must have completed secondary school education. Additional formal training in accounting or finance is considered an asset, enhancing the candidate's qualifications for the role.
Experience: Candidates should possess at least five years of relevant operational or administrative support work experience. This experience should include providing financial operations support services, which is crucial for the effective management of the project’s financial aspects. Familiarity with enterprise resource planning (ERP) systems is also a significant advantage, as it indicates the candidate's ability to handle financial records and transactions efficiently.
