Job Overview: The Administrative Support position is crucial for the effective functioning of the Country Office Support Unit. The incumbent will be responsible for providing comprehensive support in program management, financial oversight, human resourcesadministration, and general office administration. This role requires a proactive approach to managing various tasks, ensuring that the operational planning budget is updated, and that financial matters are handled efficiently within the enterprise resource planning (ERP) system. The incumbent will also coordinate administrative actions related to the project/programme, ensuring that all activities align with the approved country work plan and deadlines. The position demands a high level of organization, attention to detail, and the ability to communicate effectively with various stakeholders.
Duties and Responsibilities: The incumbent will perform a variety of duties, including but not limited to: administering and coordinating the processing of work products and transactions across program, financial, and administrative areas; reviewing obligating documents and preparing financial reports; monitoring the implementation of country activities and drawing attention to any inconsistencies or delays; supporting the preparation and monitoring of teamwork plans; coordinating human resources administrative tasks, including onboarding and performance evaluations; managing office space and ensuring smooth administrative functions; tracking client-support systems and processing requests; providing administrative support for meetings and workshops; and maintaining an electronic filing system for technical documents and correspondence.
Required Qualifications: Candidates must possess a completion of secondary education or equivalent training. A university degree in business administration, social sciences, or a related field is desirable. Training in United Nations systems is considered an advantage. Proficiency in standard office computer software and databases is essential, along with demonstrated knowledge of administrative procedures and practices in a UN or WHO context. Candidates should also have basic financial accounting skills and the ability to train and explain administrative procedures to other staff members.
Educational Background: The educational background required for this position includes a minimum of secondary education. A university degree in a relevant field such as business administration or social sciences is desirable. Additionally, training in United Nations systems can enhance a candidate's profile and is considered an asset.
Experience: Candidates should have a minimum of eight years of progressively responsible work experience in the secretarial or administrative field. Relevant experience within WHO or the United Nations system is desirable, particularly in enterprise resource planning systems. This extensive experience is crucial for understanding the complexities of administrative support in a large international organization.
Languages: Expert knowledge of English and Arabic is essential for this position. Intermediate knowledge of Kurdish is desirable, as it may facilitate communication within the local context and with various stakeholders.
Additional Notes: This position offers an attractive remuneration package, including an annual net base salary starting at USD 31,037, subject to mandatory deductions for pension contributions and health insurance.
