Job Overview: The Registration Associate plays a crucial role within the Registration team, primarily supervised by the Registration Officer. This position is responsible for supporting all activities related to the registration of refugees and asylum seekers, ensuring that the registration process effectively identifies specific protection needs and contributes to the management of operations. The Registration Associate is expected to monitor the efficiency and quality of registration processes, oversee identity and entitlement documentation activities, and manage population data effectively. This role requires collaboration with various stakeholders, including Protection, Programme, Operational Data Management, and Information Management colleagues, as well as government authorities and partners, to ensure the delivery of quality population data for registration activities. The Registration Associate must adhere to UNHCR's regulatory framework and core values, demonstrating professionalism, integrity, and respect for diversity in all interactions.
Duties and Responsibilities: The duties and responsibilities of the Registration Associate include assisting in the implementation of registration strategies and methodologies for populations of concern, supervising and managing the daily activities of the registration team, conducting registration interviews in accordance with established standards, providing counseling and responding to queries from asylum seekers and refugees regarding registration procedures and their rights, maintaining accurate records and data related to registration cases, identifying individuals with specific needs and ensuring timely referrals for protection follow-up, collaborating with protection staff and partners in delivering assistance and programming, drafting correspondence and reports related to registration activities, providing statistics and reports on registration data, making decisions related to the daily operations of the registration unit, and supporting the identification and management of risks while seeking opportunities to enhance objectives in the area of responsibility. The Registration Associate may also be required to perform other related duties as necessary.
Required Qualifications: The position requires a minimum of three years of relevant experience with a High School Diploma, or two years of relevant work experience with a Bachelor’s degree or equivalent. Essential qualifications include good computer skills, particularly in data management, and desirable qualifications include training in basic principles of international protection and experience with UNHCR proGres software. The candidate should possess strong technical knowledge of UNHCR registration tools, experience in managing people, and the ability to meet deadlines. Field experience, including planning and organizing mobile missions in remote areas, is also essential, along with experience in coordinating with stakeholders and managing protection case management in refugee situations.
Educational Background: The educational background required for this position includes a High School Diploma as a minimum, with a Bachelor’s degree or higher being advantageous. Relevant fields of education include social sciences, statistics, mathematics, and information technology. Certificates and licenses in these areas are considered essential for the role, particularly those related to data management and analysis.
Experience: Candidates should have a minimum of three years of relevant experience for those with a High School Diploma, or two years of relevant experience for those with a Bachelor’s degree or higher. Experience in registration processes, data management, and working with refugee populations is crucial. Additionally, experience in protection case management and familiarity with UNHCR's operational procedures are highly desirable.
Languages: For this position, knowledge of English and the UN working language of the duty station (if not English) is mandatory. For General Service jobs, knowledge of English and/or the UN working language is required, along with proficiency in the local language. Fluency in English and Kurdish is required, while knowledge of Arabic is considered a desirable asset. Candidates are expected to demonstrate their language skills at a minimum B2 level.
