Job Posting Organization:
The position is located within the Peacekeeping-Intelligence coordination-team" style="border-bottom: 1px dotted #007bff !important;">Coordination Team (PICT) in the Office of the Under-Secretary-General, Department of Peace Operations. The Department of Peace Operations (DPO) is responsible for providing political and executive direction to UN peacekeeping operations globally, maintaining contact with the security" style="border-bottom: 1px dotted #007bff !important;">Security Council, troop and financial contributors, and parties involved in conflicts. The DPO integrates efforts from UN, governmental, and non-governmental entities in peacekeeping operations and provides guidance on military, police, rule of law, mine action, and other relevant issues to UN political and peacebuilding missions.

Job Overview:
The Programme Management Assistant will support the planning and implementation of activities for the Peacekeeping-Intelligence Coordination Team (PICT), including the Peacekeeping-Intelligence Academy (PKIA). The role involves researching, compiling, analyzing, and summarizing information related to specific programs and projects. The assistant will coordinate program/project planning, monitor the status of proposals, and ensure project documents are completed and submitted for approval. Additionally, the assistant will assist in budget preparation and analysis, monitor and evaluate programs/projects, and collaborate with program/project managers on performance reporting. The position requires extensive liaison with various organizational units to facilitate project implementation and resolve issues related to administrative actions, recruitment, travel arrangements, and financial authorizations. The assistant will also maintain files and databases, draft correspondence, and provide guidance and training to new or junior staff.

Duties and Responsibilities:
The Programme Management Assistant will be responsible for the following duties:
  • Provide assistance in planning and implementing activities for PICT, including PKIA.
  • Research, compile, analyze, summarize, and present information/data on specific programs/projects.
  • Assist in coordinating program/project planning and preparation, monitoring the status of proposals, and ensuring project documents are completed.
  • Assist in budget preparation and analysis, ensuring requisite information is included and justified.
  • Monitor and evaluate programs/projects, track and analyze data, and prepare revised budget estimates.
  • Collaborate with program/project managers on performance reporting and ensure completeness and accuracy of data submitted.
  • Serve as a focal point for coordination and monitoring of program/project implementation activities.
  • Prepare, maintain, and update files and internal databases; generate reports and other materials.
  • Draft correspondence related to program/project administration. 1
  • Provide guidance and training to new/junior staff. 1
  • Perform other duties as assigned.

Required Qualifications:
The position requires a high school diploma or equivalent. A minimum of seven years of experience in program or project administration, technical cooperation, or a related area is required. Candidates with a first-level university degree or higher may have the minimum experience requirement reduced to five years. Additionally, a minimum of two years of experience providing program assistance in peace operations or related functions within the UN or a comparable international organization is required. Experience with the Peacekeeping-Intelligence system and managing multiple extra-budgetary funds is also necessary. Familiarity with UMOJA or a similar ERP system is required, and experience in a military or police environment is desirable.

Educational Background:
A high school diploma or equivalent is required for this position. Candidates with a first-level university degree or higher may be considered for a reduced experience requirement.

Experience:
Candidates must have a minimum of seven years of relevant experience in program or project administration, technical cooperation, or a related area. This requirement is reduced to five years for candidates with a first-level university degree or higher. Additionally, candidates must have at least two years of experience providing program assistance in peace operations or related functions within the UN or a comparable international organization, along with experience working with the Peacekeeping-Intelligence system and managing multiple extra-budgetary funds.

Languages:
English is required for this position, with a minimum proficiency level of UN Level III in reading, writing, listening, and speaking. French is also a working language of the United Nations Secretariat, but English is mandatory for this job opening.

Additional Notes:
This position is funded through extrabudgetary resources and is for an initial period of one year. The appointment is subject to the availability of the post or funds, budgetary approval, or extension of the mandate. The selected candidate will be granted a fixed-term appointment limited in accordance with administrative instructions. Renewal of the appointment is contingent upon the continued existence of the mandate and availability of funding. The position is subject to local recruitment, and applicants must be authorized to work for the United Nations in the duty station.
