Job Overview: The Business Support Assistant (Supply Chain) position is crucial for providing coordinated analytical, administrative, and information-management support to the Supply Chain management team. This role involves strengthening supplier relationship management, monitoring contract and operational performance, and coordinating On-Demand Services. The successful candidate will be responsible for maintaining supplier records, ensuring accurate documentation, and monitoring supplier performance and compliance with contracts. The position requires a proactive approach to identifying risks and improvement opportunities within the supply chain, as well as preparing periodic performance reports and management information products. The role also includes serving as a focal point for Supply Chain On-Demand Services, ensuring timely resolution of service requests and customer feedback. Overall, this position is integral to enhancing the efficiency and effectiveness of WFP's supply chain operations.
Supporting the implementation of Supplier Relationship Management (SRM) initiatives, including supplier engagement and performance management.
Maintaining accurate supplier records and SRM documentation, ensuring all information is up to date.
Monitoring supplier performance and contract compliance, tracking performance issues and corrective actions.
Coordinating supplier and stakeholder engagements, including performance reviews and capacity-building activities.
Supporting supplier mapping, market analysis, onboarding, and due diligence activities.
Developing and maintaining dashboards and reporting tools to monitor supplier performance and operational effectiveness.
Analyzing operational and supplier performance trends, identifying risks and improvement opportunities.
Preparing periodic performance reports, scorecards, and executive updates.
Serving as the coordination focal point for Supply Chain On-Demand Services, monitoring service requests and performance. 1
Supporting the implementation and monitoring of Service Level Agreements (SLAs). 1
Providing administrative support to Supply Chain leadership, managing meetings and action trackers. 1
Ensuring compliance with organizational requirements and effective knowledge management across the Supply Chain function.
Required Qualifications: The required qualifications for this position include:
Completion of secondary school education.
A post-secondary certificate in Supply Chain Management, Business Administration, Procurement, Logistics, Data Analysis, or a related field is desirable.
At least 5 years of related job experience in supply chain management or a similar field.
Experience in maintaining supplier, contract, and service delivery records.
Proficiency in data analytics and preparation of management reports and presentations.
Strong coordination skills with internal teams, suppliers, and customers.
Educational Background: Candidates must have completed secondary school education, and it is desirable to have a post-secondary certificate in relevant fields such as Supply Chain Management, Business Administration, Procurement, Logistics, or Data Analysis. This educational background provides the foundational knowledge necessary for understanding supply chain processes and management.
Experience: Candidates should possess at least 5 years of relevant job experience in supply chain management or a related field. This experience should include maintaining supplier and contract records, coordinating with various stakeholders, and utilizing data analytics to inform decision-making. The level of experience required indicates that the candidate should be well-versed in the operational aspects of supply chain management and capable of handling complex tasks independently.
Languages: Fluency (level C) in the UN language in use at the duty station is mandatory. Additionally, proficiency in the local language of the duty station, if different, is also required. This language proficiency is essential for effective communication with suppliers, stakeholders, and team members.
