Job Overview:
The Team Assistant position at the World Bank Group is a critical role that supports project teams in their operations, particularly in Sri Lanka and the Maldives. The successful candidate will be responsible for providing comprehensive administrative support to Industry and Task Team Leaders (TTLs) and their teams. This includes managing routine correspondence, drafting communications, and tracking pending actions to ensure smooth project execution. The Team Assistant will coordinate meetings and events, handle travel arrangements, and manage logistics related to the program. This role is essential for maintaining effective communication and collaboration among team members and external stakeholders, ensuring that projects are delivered on time and within budget. The position requires a proactive approach to problem-solving and the ability to adapt to changing circumstances in a dynamic work environment.

Duties and Responsibilities:
The Team Assistant will perform a variety of duties, including:
  • Providing administrative support to Industry and Task Team Leaders (TTLs) and their teams for projects in Sri Lanka and the Maldives.
  • Handling routine correspondence and drafting internal and external communications.
  • Coordinating meetings and events, including travel arrangements and logistics.
  • Supporting consultant contract management by drafting documentation and tracking deliverables.
  • Assisting with procurement of supplies and services, including liaising with vendors.
  • Monitoring budgets and financial administration, maintaining records of expenditures, and processing invoices.
  • Supporting TTLs throughout the project cycle, from concept to implementation and closing.
  • Liaising with government counterparts and external stakeholders for coordination of meetings and official correspondence.
  • Proofreading materials and maintaining organized filing systems. 1
  • Providing backup support to other Team and Program Assistants as needed. 1
  • Tracking correspondence and pending actions to ensure timely workflow completion across the project portfolio.

Required Qualifications:
Candidates must possess a minimum of a Bachelor’s degree and at least 3 years of relevant experience in a similar office or team assistant role, preferably in a multi-lingual environment. High organizational skills and attention to detail are essential, along with proficiency in office information technology and programs such as Word, Excel, and PowerPoint. Candidates should demonstrate strong collaboration skills and the ability to work effectively within a diverse team environment. Knowledge of World Bank Group policies and procedures is a plus, as is experience with AI tools like Copilot and Gemini. Excellent written and oral communication skills in English are mandatory, and candidates should exhibit a problem-solving mindset and a willingness to learn quickly.

Educational Background:
The position requires a minimum of a Bachelor’s degree in a relevant field. Candidates with degrees in business administration, international relations, or related disciplines may be preferred. The educational background should provide a solid foundation for understanding the complexities of project management and administrative support in a global context.

Experience:
The ideal candidate should have at least 3 years of experience in an administrative support role, preferably within an international organization or a multi-lingual environment. Experience in project management support, office administration, or similar roles is highly desirable. Familiarity with the operations of the World Bank Group or similar institutions will be considered an advantage.

Languages:
Proficiency in English is mandatory for this position, as it is the primary language of communication within the World Bank Group. Additionally, knowledge of Sinhalese or Tamil is preferred, as it will facilitate better communication with local stakeholders and enhance the effectiveness of project implementation in Sri Lanka.

Additional Notes:
This position is classified as a Team Assistant (OR) Extended Term Temporary role, depending on business needs. The contract duration is for 2 years, and the recruitment is focused on local talent authorized to work in Sri Lanka.
