Job Overview:
The Reporting & Partnerships Officer position at WFP is crucial for enhancing the effectiveness of the organization's programs in Sri Lanka. The incumbent will be responsible for coordinating reporting processes, supporting resource mobilization, and partnership activities, and providing analytical inputs that aid in decision-making. This role involves the development of high-quality reports and donor visibility products while ensuring compliance with corporate standards and donor requirements. The officer will play a key role in planning and implementing reporting and information management activities, ensuring that all outputs meet the necessary standards and deadlines. The position requires a proactive approach to engage with various units within WFP to ensure that reporting timelines are met and that the quality of contributions is maintained. The officer will also support partnership development efforts by conducting thorough research and analysis to identify opportunities for collaboration and resource mobilization, thereby contributing to the overall mission of WFP in Sri Lanka.

Duties and Responsibilities:
  • Contribute to the planning and implementation of reporting and information management activities, ensuring compliance with corporate standards and donor requirements.
  • Coordinate the collection, validation, analysis, and consolidation of information from multiple units to support reporting, program performance monitoring, and management decision-making.
  • Prepare analytical reports, briefing notes, situation updates, dashboards, and donor visibility products that communicate program achievements, challenges, and operational developments.
  • Coordinate inputs for corporate and donor reporting exercises, including annual reports, country briefs, situation reports, and thematic updates, ensuring accuracy, consistency, and timely submission.
  • Monitor reporting timelines and deliverables, proactively engaging with relevant units to ensure quality contributions and adherence to deadlines.
  • Contribute to the development and improvement of reporting tools, templates, guidance materials, and information management processes to enhance efficiency and reporting quality.
  • Support partnership development efforts by conducting partner mapping, stakeholder analysis, and background research to identify opportunities for collaboration and resource mobilization.
  • Coordinate the preparation of donor proposals, concept notes, presentations, partner briefings, and visibility materials, ensuring alignment with strategic priorities and partner expectations.
  • Facilitate coordination between program, RAM, communications, supply chain, finance, and external stakeholders to ensure coherent reporting and partnership engagement. 1
  • Monitor donor commitments, visibility requirements, and reporting obligations, ensuring timely follow-up and compliance. 1
  • Analyze program performance information and identify trends, risks, and lessons learned to support evidence-based planning and communication. 1
  • Contribute to knowledge management initiatives by maintaining reporting repositories, documenting best practices, and promoting effective information sharing across the Country Office. 1
  • Represent the unit in internal coordination meetings and provide technical advice on reporting and partnership-related matters as required.

Required Qualifications:
The ideal candidate for the Reporting & Partnerships Officer position should possess a combination of educational qualifications and relevant experience. Candidates must have either an advanced university degree in a relevant functional area such as Communications, Information Management, Social Sciences, Development Studies, International Relations, or related fields, along with one year of postgraduate professional experience, or a first university degree with an additional eight years of related work experience. Additionally, candidates should have completed relevant trainings or courses that enhance their qualifications for this role. Strong organizational skills, attention to detail, and the ability to work collaboratively with multidisciplinary teams are essential for success in this position.

Educational Background:
Candidates must hold an advanced university degree in a relevant functional area such as Communications, Information Management, Social Sciences, Development Studies, International Relations, or related fields. Alternatively, a first university degree with additional eight years of related work experience is acceptable. Continuous professional development through relevant trainings or courses is highly desirable and will be considered an asset for applicants.

Experience:
The position requires one year of postgraduate professional experience, or a first university degree with an additional eight years of related work experience. Candidates should have experience coordinating program reporting and performance monitoring activities, including the collection, validation, analysis, and interpretation of data, as well as the preparation of analytical reports and management updates. Experience in information management, performance reporting, or knowledge management is also essential, as is experience supporting partnership development, donor engagement, or resource mobilization activities. Familiarity with the UN system, international NGOs, or development organizations is highly desirable, along with strong organizational skills and attention to detail.

Languages:
Fluency in oral and written English is mandatory for this position. Additionally, fluency in Sinhala and/or Tamil is desirable to facilitate coordination with national counterparts, enhancing communication and collaboration within the local context.

Additional Notes:
The Reporting & Partnerships Officer position is offered as a Service Contract (SC8) with a contract duration of one year, which may be subject to extension based on performance and organizational needs. The duty station for this position is Colombo, Sri Lanka, and it is open exclusively to Sri Lankan nationals.
