Job Overview:
The Project Management Support Officer will be based in Lomé, Togo, and will join a dedicated UNOPS team focused on supporting national initiatives. This role is crucial for enhancing operational, analytical, and reporting capacities within the project portfolio. The officer will act as a key facilitator between project teams, support service units, and external partners, ensuring smooth administrative processes, reliable data tracking, and responsive organizational actions to complex development project needs. The officer will provide operational, analytical, and administrative support to ensure effective planning, implementation, and monitoring of projects in line with UNOPS policies and client requirements. This includes data management, reporting, and logistical support to enhance project execution.

Duties and Responsibilities:
The Project Management Support Officer will be responsible for a variety of tasks, including:
  • Data Management, Analysis, and Reporting: Collecting, cleaning, structuring, and validating project data to ensure accuracy and reliability. Developing and maintaining databases and dashboards for real-time project tracking. Conducting statistical and qualitative analyses to identify trends and inform decision-making. Preparing analytical reports and presentations for stakeholders. Implementing automated tools and visualization systems to enhance data accessibility.
  • Project Implementation and Operational Support: Supporting project planning, budgeting, and execution while ensuring compliance with UNOPS procedures. Preparing project documentation, including Terms of Reference, agreements, budgets, and procurement requests. Coordinating workshops, missions, and stakeholder consultations, including travel and logistical arrangements. Liaising with support service units regarding procurement, contracting, and payment processes. Monitoring project milestones and deliverables, alerting management to any delays or risks.
  • Administrative, Financial, and Procurement Coordination: Assisting in the preparation and monitoring of procurement plans and workshop agendas. Conducting market studies and supporting solicitation processes. Monitoring project budget utilization and maintaining accurate documentation for audits. Processing travel and expense claims in accordance with organizational policies.
  • Monitoring, Evaluation, and Strategic Decision Support: Developing tracking systems to monitor progress against work plans and performance indicators. Contributing to the development of predictive models for strategic planning. Supporting internal evaluations and performance reviews based on data to assess project outcomes. Providing timely contributions for donor and partner reports, ensuring analytical rigor and compliance with reporting standards.
  • Knowledge Development and Sharing: Supporting the organization and facilitation of training sessions on project management. Participating in knowledge-sharing initiatives and communities of practice, contributing insights and lessons learned. Conducting research on project management topics and assisting in report writing and information dissemination.

Required Qualifications:
The ideal candidate should possess a Master's degree or equivalent in any discipline with at least 2 years of relevant experience, or a Bachelor's degree with no prior experience. A professional certification or membership in a globally recognized project management organization is desirable. Candidates should demonstrate relevant experience in project management or related fields, with a proven ability to use collaboration and productivity tools effectively. Experience in multicultural environments or UN system organizations in developing countries is preferred, along with experience in development or humanitarian contexts.

Educational Background:
Candidates are required to have a Master's degree (or equivalent) in any discipline with 2 years of relevant experience, or a Bachelor's degree (or equivalent) with no relevant experience. A professional certification in project management from a recognized institution is preferred but not mandatory.

Experience:
Relevant experience in project management or related fields is required. Candidates must demonstrate proficiency in using collaboration and productivity tools such as MS Office and G-Suite, as well as web-based management systems. Experience working in multicultural environments or with UN organizations in developing countries is desirable, along with experience in development or humanitarian contexts.

Languages:
Fluency in French is required, while basic proficiency in English is desirable. Candidates should be able to communicate effectively in both languages, with a strong emphasis on French for day-to-day operations.

The position is classified at the Associate seniority level (ICS 08) and is a full-time contract under the ICA - LICA - Specialist - Regular type.
