Job Overview: The CLM Specialist will play a crucial role in managing CIMMYT's Contract Lifecycle Management (CLM) platform, ICERTIS. This position requires a service-oriented professional who can thrive in complex environments and work collaboratively across various departments. The primary responsibilities include the day-to-day administration of the ICERTIS platform, ensuring its optimization and user enablement. The specialist will work closely with the Legal Operations Manager and coordinate with the Legal Department, IT/ERP teams, and the ICERTIS vendor team. The focus will be on sustaining and evolving the existing platform to support the global operating model of the Legal Department, rather than implementing a new system. The role demands a proactive approach to problem-solving and a commitment to enhancing operational efficiency.
Duties and Responsibilities: The CLM Specialist will be responsible for a wide range of duties, including administering the ICERTIS platform by managing user roles, permissions, and access provisioning in accordance with confidentiality protocols. The specialist will provide second- and third-level support for CLM-related incidents, coordinating with the Legal Department's ticketing system and escalating issues to the ICERTIS vendor as necessary. Monitoring system performance and maintaining configuration documentation will be key tasks, along with reviewing and refining contract templates and workflows in collaboration with the Legal Department. The specialist will also be tasked with building and deploying contract workflows, ensuring that templates and clause libraries are kept current, and analyzing usage patterns to identify areas for improvement. Additionally, the role involves supporting internal and external audits, maintaining contract metadata accuracy, and developing training materials to drive platform adoption across various business units.
Required Qualifications: Candidates must possess a Bachelor’s degree in business administration, Information Technology, Law, or a related field. A minimum of 3 years of experience in administering or supporting a Contract Lifecycle Management platform is required, with hands-on experience in ICERTIS being strongly preferred. Relevant CLM certification, such as Icertis Certified Administrator or Configurator, is advantageous. Applicants should demonstrate experience with contract workflows, clause libraries, and template configuration, as well as familiarity with system integrations and basic troubleshooting. Strong analytical skills and proficiency in reporting tools, particularly Power BI or equivalent, are essential. Candidates must also exhibit strong stakeholder management and communication skills, with the ability to interact professionally across various departments.
Educational Background: The educational background required for this position includes a Bachelor’s degree in business administration, Information Technology, Law, or a related field. This foundational education is critical for understanding the complexities of contract management and the legal frameworks that govern it.
Experience: The position requires a minimum of 3 years of relevant experience, with a preference for candidates who have 3 to 5 years of experience in administering or supporting a Contract Lifecycle Management platform. Experience in a company, law firm, or international organization is highly valued, particularly if it includes hands-on experience with ICERTIS.
Languages: Full professional proficiency in English is mandatory, with a minimum C1 level on the CEFR scale. Working proficiency in Spanish is considered an advantage, as it may facilitate communication within a diverse team and with international stakeholders.
Additional Notes: This position is offered as an initial fixed-term contract of 12 months, with the possibility of extension based on performance and funding availability.
