Job Overview: The Medical Data Assistant will work under the overall supervision of the Chief Migration Health Officer (CMHO) and the direct supervision of the Senior Medical Assistant. The successful candidate will be responsible for carrying out various duties related to the Migration Health Assessment Centre (MHAC) in Egypt. This role involves providing information relevant to Health Assessment Programs, applicant processing, and other IOM services to migrants. The Medical Assistant may be assigned to one of two potential subunits within the MHAC: the reception and data processing unit or the call centre. Flexibility is essential as the incumbent may be required to perform different tasks as needed. The position requires a proactive approach to managing data and ensuring that all processes related to health assessments are conducted efficiently and accurately.
Duties and Responsibilities: The Medical Data Assistant will have a range of duties and responsibilities, including but not limited to:
Call Centre Duties:
- Provide information to migrants regarding health assessments via phone.
- Register migrants in the IOM database, schedule and confirm medical appointments, and communicate messages for medical staff and beneficiaries.
- Prepare master lists of migrants scheduled for health assessment processing and submit them to relevant service providers.
- Maintain daily statistics related to health assessments and update records.
- Contribute to customer satisfaction evaluation management.
Reception and Data Entry Duties:
- Perform data processing activities at the MHAC, including explaining the registration process to applicants, checking applicant identities, entering biodata into the appropriate platform, taking photos, and printing necessary documents.
- Receive completed medical examination forms and other documents, updating the database and forwarding them for quality checks.
- Prepare, sort, and package medical files during mobile migration health assessment missions.
- Transmit completed medical forms and documents to various partners, ensuring correct contact information is used.
- File incoming/outgoing letters, reports, and IOM documents related to medical issues.
- Check, print, and photocopy bank deposit slips and submit them to the Administrative/Finance Assistant.
- Perform other duties as assigned.
Required Qualifications: Candidates must possess a University Degree with at least two years of relevant working experience, or a Secondary School Diploma with at least four years of relevant working experience. A certificate in IT/Data entry is considered an advantage. Candidates should have experience in computer data entry, elaboration, and analysis, or in a call centre, preferably within a medical institution. Knowledge of customer care and medical terminology is beneficial, as is previous experience with NGOs or international organizations.
Educational Background: The educational background required for this position includes a University Degree from an accredited institution listed in the UNESCO World Higher Education Database, or a Secondary School Diploma with relevant work experience. A certificate in IT/Data entry is advantageous but not mandatory.
Experience: The position requires candidates to have at least two years of relevant working experience if they hold a University Degree, or four years of relevant experience if they have a Secondary School Diploma. Experience in data entry, call centre operations, and familiarity with medical terminology is preferred. Previous work experience with NGOs or international organizations is also an advantage.
Languages: Fluency in English and Arabic is required for this position, both oral and written. All IOM staff members are required to be fluent in one of the IOM's official languages (English, French, Spanish). Proficiency in the required languages will be evaluated during the selection process, which may include written and/or oral assessments.
Additional Notes: The selection process may be used to staff similar positions in various duty stations, and recommended candidates will remain eligible for appointment in a similar position for a period of 24 months.
