Job Overview:
The Administrative Assistant (Climate Mobility) will provide essential administrative, clerical, and logistical support to the Climate Mobility Unit under the supervision of the Chief of Mission and the Programme Officer (Migration and Climate Change). This role is crucial for ensuring the smooth operation of the unit, which focuses on addressing the impacts of climate change on migration. The Administrative Assistant will be responsible for a variety of tasks including drafting routine correspondence, managing office files, and supporting the organization of meetings and events. The position requires a proactive approach to managing administrative tasks and a commitment to supporting the unit's objectives in a timely and efficient manner. The role also involves collaboration with the IOM Coordination Office for the South Pacific Resources Management Unit and other IOM Country Offices, making it vital for the candidate to possess strong organizational and communication skills.

Duties and Responsibilities:
The Administrative Assistant will be tasked with a comprehensive set of duties including: typing, formatting, and drafting routine correspondence; collating tables, reports, presentations, and other documentation; receiving, screening, and directing telephone calls and visitors; responding to routine inquiries; entering, retrieving, compiling, structuring, and updating information and data from various sources; maintaining office files and reference systems; initiating and processing routine administrative transactions in financial, travel, and human resources systems; supporting the organization of meetings, workshops, and events; arranging travel logistics; monitoring office supplies; and performing other duties as required. This role demands a high level of attention to detail and the ability to manage multiple tasks effectively.

Required Qualifications:
Candidates must possess a high school diploma with three years of relevant experience, or a Bachelor's degree in business administration or a related field from an accredited institution with one year of relevant professional experience. Proficiency in Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook is essential. The ideal candidate should demonstrate strong organizational skills, attention to detail, and the ability to work in a methodical manner. Experience working with international humanitarian organizations or in a multi-cultural setting is advantageous. Candidates should also exhibit discretion, patience, and a willingness to learn new skills.

Educational Background:
The educational requirements for this position include either a high school diploma with three years of relevant experience or a Bachelor's degree in business administration or a related field from an accredited institution. Accredited institutions are those listed in the UNESCO World Higher Education Database, ensuring that candidates have received a recognized level of education that meets international standards.

Experience:
The position requires candidates to have a minimum of three years of relevant experience if they hold a high school diploma, or one year of relevant professional experience if they possess a Bachelor's degree. Experience should ideally include proficiency in Microsoft Office applications and familiarity with administrative procedures. Prior work experience with international humanitarian organizations or government institutions in a multi-cultural environment is considered an advantage, as it demonstrates the candidate's ability to navigate diverse workplace dynamics effectively.

Languages:
Fluency in English, both oral and written, is mandatory for all IOM staff members. For this position, proficiency in English will be specifically evaluated during the selection process, which may include written and/or oral assessments. Additionally, knowledge of other Pacific Island languages is desirable, as it can enhance communication and engagement with local communities and stakeholders.

Additional Notes:
The selection process for this position may be used to staff similar roles in various duty stations, and recommended candidates will remain eligible for appointment in similar positions for a period of 24 months.
