Job Overview:
The Executive Operations Manager will provide essential operational and administrative support to the Office of the CEO. This senior role requires the ability to anticipate the CEO's needs, exercise independent judgment, and manage workstreams from start to finish. The position encompasses three main areas: proactive executive support for the CEO, independent management of Board engagement and governance operations, and leadership of special projects aimed at enhancing the efficiency of the Office of the CEO. This role offers a unique perspective on CHAI's strategic initiatives and senior relationships, making it ideal for individuals looking to develop their careers at the intersection of executive operations, governance, and organizational strategy. Duties and Responsibilities:
Required Qualifications:
Candidates must possess a Bachelor's degree and have 5-7 years of relevant experience, particularly in supporting senior executives. They should demonstrate the ability to work independently, anticipate needs, and manage workstreams with minimal oversight. Experience with Board and governance engagement is strongly preferred. Candidates must be able to handle sensitive information discreetly and possess exceptional writing skills for producing polished documents. Attention to detail and the ability to manage complex projects involving multiple stakeholders are essential. Candidates should be highly motivated, resourceful, and able to communicate effectively with diverse professional backgrounds.
Educational Background:
A Bachelor's degree is required for this position, with a preference for candidates who have pursued further education or specialized training relevant to executive operations or governance.
Experience:
The ideal candidate should have 5-7 years of experience in roles that involve supporting senior executives, with a strong preference for experience in Board and governance engagement. They should be adept at managing sensitive information and communications, and have a proven track record of working independently in fast-paced environments.
Languages:
While no specific languages are mandated, proficiency in English is essential due to the nature of the role and the organization's global operations. Additional language skills may be considered an asset, particularly in regions where CHAI operates.

- Executive Support for the CEO (40%): Manage the CEO's calendar, ensuring alignment with priorities; schedule calls, meetings, and travel; advise on delegation versus engagement; coordinate travel logistics including flights, accommodation, and visas; produce high-quality briefing notes and talking points; track receipts and prepare expense reports; manage communication with internal and external partners; track progress against the CEO's objectives; create weekly schedules for the CEO.
- Board Engagement & Governance (35%): Own logistics and communications for Board meetings; coordinate development of meeting materials; manage communications with Board members; partner with General Counsel on governance operations; develop strategies to enhance Board engagement; support logistics around Board composition and succession planning; prepare tailored briefing documents for the CEO.
- Alumni Relations & Special Projects (25%): Design and coordinate a CHAI alumni network; conduct research for strategic initiatives; provide project management support for special projects; plan logistics for internal and external meetings.
