Job Overview: The Programme Assistant position is situated within the WFP Liberia Country Office, specifically in the Programme Unit. The role is pivotal in providing programmatic support aimed at enhancing data quality, managing program systems, and ensuring effective corporate reporting. The job holder will be responsible for organizing and maintaining key program data, planning tools, and corporate system inputs to facilitate operational decision-making. This position requires the completion of specialized processes that involve interpreting standard guidelines, compiling reports, performing analyses, and contributing to the smooth implementation of programs and projects. The Programme Assistant will also engage in activities such as creating and tracking program Purchase Orders (PO), Purchase Requests (PR), and Goods Release Notes (GRN), while collaborating with various units to process payments for program-related vendors. The overarching goal of this role is to support effective program delivery and improve information management within the Programme Unit, ensuring that all data and processes are coherent and up-to-date.
Duties and Responsibilities: The duties and responsibilities of the Programme Assistant include:
Programme Systems Management and Data Coherence: Support the Programme Unit in utilizing corporate systems and tools such as WINGS, SCOPE, SmartSourcing, and COMET. This involves coordinating inputs, maintaining accurate program records, and ensuring consistency with approved plans and reporting requirements.
Monthly Country Briefs, Reporting, and Reconciliation: Coordinate the collection and verification of inputs for monthly country briefs, compile program data, and support basic analysis for reports on beneficiary reach and operational challenges.
Planning Consolidation and Operational Follow-up: Regularly update the Programme Unit travel and expenditure plans, track submissions, and maintain action trackers from meetings.
Knowledge Management, SharePoint, and Document Control: Develop and maintain a knowledge management approach for the Programme Unit, ensuring that key documents are organized and accessible.
Programme Coordination Support: Act as a point of contact for operational queries, support timely access to program data, and perform other program support duties as required. The expected deliverables include updated program data, timely reporting inputs, and organized knowledge management systems.
Required Qualifications: The required qualifications for the Programme Assistant position include a strong attention to detail, good analytical skills, and proficiency in computer applications such as Excel, Word, PowerPoint, and SharePoint. The candidate should possess the ability to manage and reconcile data from multiple sources, prepare concise reports, and maintain confidentiality of sensitive information. Additionally, the candidate should demonstrate good coordination skills, initiative, and the ability to work independently while escalating issues when necessary. Experience in program administration, information management, and reporting is also desirable.
Educational Background: Candidates are expected to have completed secondary school education, with a post-secondary certificate in fields such as information management, data management, business administration, public administration, project management, statistics, economics, social sciences, or a related functional area being desirable. This educational background will provide the necessary foundation for the analytical and organizational tasks required in this role.
Experience: The position requires experience in supporting program implementation, administration, information management, reporting, planning, or data management functions. Familiarity with corporate systems or business processes related to program, procurement, finance, and reporting is highly desirable. Candidates should have experience in compiling and reconciling data from various sources and preparing reports and management briefs. Experience working with technical teams, government counterparts, NGOs, or UN agencies is considered an asset.
Languages: Fluency in oral and written English is mandatory for this position. Knowledge of local Liberian languages would be considered an asset, enhancing communication with local stakeholders and beneficiaries.
