Job Overview: The Project Assistant (Version Control) position is integral to the Programme Office for the new Supreme Headquarters (POSH) at NATO's strategic headquarters, SHAPE. The incumbent will monitor modifications across various domains, including Infrastructure, Security, and CIS, and safeguard the consistency of documentation throughout the transition to the future SHAPE headquarters. The position requires a proactive approach to managing project documentation and facilitating communication among stakeholders, ensuring that all modifications are documented and tracked effectively to support project timelines and deliverables.
Duties and Responsibilities: The duties of the Project Assistant (Version Control) include assisting the Project Manager in implementing version control procedures, ensuring consistency and traceability of project documentation, and monitoring modifications on the construction site. The incumbent will create and maintain version control logs, collect data to measure the impact of modifications, and support the Project Manager in monitoring progress. Additionally, the role involves coordinating with POSH Project Managers, maintaining contact lists of stakeholders, scheduling meetings, and preparing documentation related to adaptations and modifications. The Project Assistant will also generate reports on project performance and compliance, handle administrative tasks related to version control, and assist in stakeholder communication to promote collaboration and transparency.
Required Qualifications: Candidates must have experience in creating and documenting version control, proficiency with office processing tools such as MS Office, and experience in project management methodologies like PRINCE
Knowledge of software systems such as Archibus, Planon, and Autodesk Construction Cloud is also required. The role demands a detail-oriented, organized, and analytical individual who can manage multiple tasks and communicate effectively with various stakeholders.
Educational Background: The educational requirements for this position include higher secondary education with intermediate vocational training leading to a formal qualification and at least 2 years of relevant experience, or secondary education with advanced vocational training leading to a professional qualification and 4 years of post-related experience. Specific job-related qualifications and experience take precedence over standard educational requirements in case of ambiguity.
Experience: The position requires candidates to have a minimum of 2 years of experience in a project support role, particularly in the creation and documentation of version control. Experience with project management methodologies and tools is essential, as well as familiarity with construction and infrastructure projects.
Languages: The mandatory language for this position is English, with a proficiency level of SLP 3333 (Listening, Speaking, Reading, and Writing). French is also required at a proficiency level of SLP 222
