Job Overview: The User Events Assistant position is situated within the PCT Legal and User Support Section of WIPO, which is responsible for providing legal advice on the Patent Cooperation Treaty (PCT) matters. The role primarily involves supporting the Division in coordinating promotional, outreach, and training activities related to the PCT system. This includes increasing awareness of the PCT system and facilitating its growth through various outreach initiatives. The incumbent will work under the supervision of the Head of the PCT Legal and User Support Section and will liaise with various stakeholders both within and outside the organization to ensure the successful execution of outreach activities.
Duties and Responsibilities: The User Events Assistant will perform a variety of duties including: providing administrative support to senior staff in coordinating PCT promotional and outreach activities; managing correspondence and tracking deadlines; coordinating the preparation and translation of seminar documents; ensuring financial and budgetary aspects are settled with organizers and speakers; collecting feedback from participants to improve activities; maintaining databases and contact lists; assisting in the development of audio/visual aids for promotional purposes; serving as a liaison with other WIPO units and external counterparts; proposing adjustments to streamline procedures; and supporting the promotion and growth of the PCT and other WIPO services.
Required Qualifications: Candidates must have completed secondary education and possess at least five years of relevant experience. Desirable experience includes coordination of outreach activities and overseeing budgetary activities. The role requires excellent organizational skills, attention to detail, and the ability to work independently and as part of a team. Candidates should also demonstrate good communication and interpersonal skills, particularly in a multicultural environment.
Educational Background: The minimum educational requirement for this position is the completion of secondary education. Higher educational qualifications may be considered on a case-by-case basis, particularly if they are recognized by the World Higher Education Database (WHED).
Experience: The position requires a minimum of five years of relevant experience, particularly in roles that involve coordination of outreach activities and budget management. This experience is essential for effectively supporting the various promotional and training initiatives related to the PCT system.
Languages: The essential language requirement for this position is excellent knowledge of written and spoken English. Knowledge of other official UN languages is desirable, which may include Arabic, Chinese, French, German, Japanese, Korean, Portuguese, Russian, and Spanish.
Additional Notes: This is a limited-term fixed-term position with an initial appointment of two years, which may be renewable based on satisfactory performance. The selected candidate's overall term in this position is limited to five years, with no possibility of renewal beyond that term. The annual salary for this position is 79,603 CHF, net of tax, and additional allowances may be available for dependents and language proficiency.
