Job Overview: The UN Administrative Assistant position is integral to the operations of the UN Resident Coordinator's Office in Côte d'Ivoire. The role encompasses a wide range of administrative functions, including human resource management, budget and finance, general administration, and contract administration. The Administrative Assistant will work closely with the Head of the Resident Coordinator's Office and other team members to ensure the smooth functioning of the office and the effective implementation of UN programs and initiatives. The position requires a proactive approach to problem-solving, strong organizational skills, and the ability to manage multiple tasks efficiently. The Administrative Assistant will also be responsible for maintaining accurate records, preparing reports, and providing support for various administrative processes, thereby contributing to the overall success of the UN's mission in the country.
Duties and Responsibilities: The Administrative Assistant will be responsible for a variety of tasks, including but not limited to: initiating and processing human resource activities such as recruitment, performance appraisals, and training; responding to staff inquiries regarding administrative procedures and entitlements; maintaining vacancy announcement files; assisting in budget preparation and monitoring expenditures; drafting routine correspondence; coordinating with service units and internal team members; providing administrative support to the Operations Management Team; managing contracts with external service providers; auditing invoices; and ensuring compliance with UN regulations. The role also involves data collection and analysis, preparation of presentations and reports, and supporting the RCO's coordination role in relation to common services and premises.
Required Qualifications: Candidates must possess a high school diploma or equivalent. A relevant first-level university degree may be accepted in lieu of two years of required experience. A minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or a related area is required. Experience with an Enterprise Resources Planning (ERP) system, such as Umoja, is desirable, as is experience working with the United Nations or similar international organizations. Candidates should also have experience in data analytics or related fields, which is considered an asset.
Educational Background: Completion of a high school diploma or equivalent is required for this position. A relevant first-level university degree may be accepted in lieu of two years of required experience, indicating that candidates with higher education may have a competitive advantage in the selection process.
Experience: The position requires a minimum of seven years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, or a related area. Candidates with a first-level university degree may have the minimum experience requirement reduced by two years. Experience with an Enterprise Resources Planning (ERP) system, such as Umoja, is desirable, as is experience with the United Nations or similar international organizations. Additionally, one year or more of experience in data analytics or a related area is considered beneficial for this role.
Languages: The working languages of the United Nations Secretariat are English and French. For this position, proficiency in both languages is required.
