Job Overview:
The SECONDMENT Regional Bureau Secretary will play a crucial administrative role in the Regional Bureau/Liaison Office, providing timely, efficient, and quality administrative and secretarial assistance to the Head of the Regional Bureau and assigned officers. The role involves developing administrative procedures to maximize operational effectiveness and may require providing guidance to an Administrative Agent. The Secretary will be responsible for ensuring that all correspondence and documentation are prepared efficiently, maintaining the agenda of the Head of the Bureau, and ensuring that all administrative tasks are completed in a timely manner. This position is vital for the smooth functioning of the Bureau and its activities, requiring a proactive approach to administrative support and coordination.

Duties and Responsibilities:
  • Perform secretarial duties and provide administrative support to the Head of the RB/Liaison office and the Officers assigned to the Bureau, ensuring efficient preparation and processing of correspondence and documentation.
  • Implement a system to log, treat, trace, and file all incoming and outgoing mail in the RB/Liaison office, ensuring timely follow-up on actions.
  • Establish administrative procedures to ensure cohesive operation of the RB/Liaison office teams, enabling quick retrieval of information and documentation.
  • Ensure all correspondence is correct in presentation and linguistic quality, adhering to deadlines.
  • Implement administrative directives from the Head of the RB/Liaison office and suggest improvements to procedures.
  • Provide administrative support to all officers in the Bureau, liaising with NCBs and external organizations for information and documentation.
  • Undertake personnel-related administrative tasks as directed, maintaining a local contact network with government departments for personnel procedures.

Required Qualifications:
Candidates must possess at least two years of bilingual secretarial education from a university or equivalent training. A trilingual secretarial qualification is considered an asset. Additionally, candidates should have at least two years of experience in a secretarial position or equivalent experience beneficial to the role, with similar experience in national or international organizations being advantageous.

Educational Background:
A minimum of two years of bilingual secretarial education from a recognized institution is required. A trilingual secretarial qualification would be beneficial for this position, enhancing the candidate's ability to communicate effectively in multiple languages.

Experience:
Candidates should have a minimum of two years of experience in a secretarial role or equivalent experience that is beneficial to the position. Experience in a similar role within another national or international organization would be advantageous, providing familiarity with the demands and expectations of such environments.

Languages:
Professional fluency in English is mandatory. Proficiency in another official working language of the Organization, such as Arabic, French, or Spanish, would be an additional asset, enhancing communication capabilities within the diverse environment of INTERPOL.

Additional Notes:
The position is a secondment role with a duration of 36 months. It is classified at Grade 7, and the security" style="border-bottom: 1px dotted #007bff !important;">security-clearance" style="border-bottom: 1px dotted #007bff !important;">security clearance level required is Basic.
