Job Overview: The Executive Associate position is a pivotal role within the UNOPS Ukraine and Eastern Europe Management Coordination Office (UEMCO). This role is designed to provide comprehensive executive support to the MCO Director, ensuring the effective and efficient functioning of the Management Office. The Executive Associate will be responsible for managing sensitive and confidential information, coordinating communication between various stakeholders, and facilitating the smooth operation of the office. This includes organizing meetings, preparing agendas, and ensuring timely follow-up on decisions and commitments. The role requires a proactive approach to anticipate the needs of the MCO Director and to maintain strong relationships with internal and external partners. The Executive Associate will play a crucial role in promoting UNOPS as an effective service provider and contributor to Ukraine's recovery and development efforts.
Duties and Responsibilities:
Support the MCO Director with administrative tasks related to the management of UEMCO, ensuring professionalism and exemplary standards of conduct.
Manage the Management Office’s schedules and calendars, organizing official meetings and preparing agendas, minutes, and action summaries.
Coordinate visits by high-level officials and support special corporate events.
Establish and maintain effective networks and communication systems for the Management Office.
Serve as the protocol and liaison focal point between UNOPS Ukraine and the UN Resident Coordinator’s Office.
Anticipate the MCO Director's information and scheduling needs, managing written and verbal communications on behalf of the Management Office.
Maintain a system for tracking decisions and commitments, preparing routine correspondence and reports.
Support stakeholder collaboration by maintaining relationships with key stakeholders and facilitating communication with other UN agencies.
Contribute to knowledge sharing and corporate initiatives within the UNOPS framework.
Required Qualifications: Candidates must possess either a secondary school diploma with at least 6 years of relevant experience or a bachelor’s degree in Business Administration, Public Administration, or a related field, which may reduce the required years of experience. The role demands strong organizational skills, the ability to handle confidential information, and proficiency in multitasking and stakeholder management. Candidates should demonstrate effective communication skills and the ability to work in a fast-paced environment.
Educational Background: The educational background required for this position includes a secondary school diploma or equivalent, with a preference for candidates holding a bachelor’s degree in fields such as Business Administration or Public Administration. The educational qualifications are designed to ensure that candidates have a foundational understanding of administrative processes and organizational management.
Experience: The position requires a minimum of 6 years of relevant experience in executive support, office administration, or coordination. Candidates with less experience may be considered if they hold a bachelor’s degree. Experience in public relations and communication with senior officials, as well as familiarity with UN rules and regulations, is desirable. Knowledge of government institutions and NGOs is also beneficial for this role.
Languages: Fluency in English and Ukrainian is mandatory for this position. Candidates must demonstrate strong communication skills in both languages to effectively interact with diverse stakeholders and facilitate information exchange within the organization and with external partners.
Additional Notes: The position is classified as an Associate level role (ICS 06) and is offered under an Individual Contractor Agreement (ICA) with a regular contract type. The contract duration is open-ended, and the position is based in Kyiv, Ukraine.
