Job Overview:
The Meetings Services Assistant will play a vital role in organizing and coordinating meetings for the Security Council and its subsidiary bodies. This position requires a proactive approach to ensure that all procedural and organizational arrangements are in place for meetings to convene smoothly. The incumbent will assist in drafting procedural briefs, ensuring the availability of necessary documents and personnel, and maintaining accurate records of meetings. The role involves utilizing various document management systems to track and manage meeting materials, preparing agendas, and producing reports on meeting proceedings. The assistant will also be responsible for supervising the voting process and preparing seating arrangements according to UN protocols. This position demands strong organizational skills, attention to detail, and the ability to work collaboratively with various stakeholders to achieve the goals of the Security Council.

Duties and Responsibilities:
The Meetings Services Assistant will be responsible for a comprehensive set of duties, including but not limited to: organizing and coordinating meetings with relevant offices and delegations; drafting procedural briefs for the President of the Security Council; ensuring the availability and distribution of documents; maintaining reference materials and background documents; reporting on committee proceedings; producing daily and weekly programs for assigned committees; supervising voting and election processes; preparing agenda items and participant lists; maintaining a database of meetings; preparing monthly statistics; determining resource requirements and preparing cost estimates; allocating conference facilities; maintaining attendance records; conducting research for briefs and statements; ensuring compliance with UN document standards; preparing seating arrangements; attending planning meetings; drafting correspondence; maintaining filing systems; responding to queries; participating in recruitment and training of temporary assistants; assisting with data collection and analysis; and performing various administrative duties related to the position.

Required Qualifications:
Candidates must possess a high school diploma or equivalent. A minimum of seven years of experience in conference support or a related area is required. Experience providing support services to the Security Council is desirable, along with direct experience in organizing official meetings and working with management at all levels. The role requires a strong understanding of the UN's conference policies and procedures, as well as the ability to effectively manage multiple tasks and priorities in a fast-paced environment.

Educational Background:
The minimum educational requirement for this position is a high school diploma or equivalent. While no specific job-related qualifications are listed, candidates with additional certifications or training in conference management or related fields may have an advantage in the selection process.

Experience:
The position requires a minimum of seven years of relevant work experience, particularly in conference support or related areas.
