Job Overview: The Executive Coordination Consultant will provide essential support to the Office of the Director within the Strategic Partnerships Division (SPD) during a maternity leave period. This role is crucial for ensuring the efficient functioning of the Director's Office, coordinating divisional priorities, facilitating cross-divisional collaboration, and supporting the timely implementation of corporate and operational priorities. The consultant will report directly to the Director a.i. of the SPD and will work closely with various teams across Headquarters, Regional, and Country Offices. The position requires a proactive approach to managing information flow, correspondence, and decision-making processes, as well as the ability to coordinate special projects and manage executive engagements effectively. The consultant will also play a key role in strategic planning and operational management, ensuring that the division meets its objectives and commitments.
Duties and Responsibilities:
Executive Office Coordination: Support the Director in managing the Office's strategic coordination and daily operations, ensuring timely information flow and correspondence. Act as the primary coordination point between the SPD and other units, guiding colleagues on processes and priorities. Monitor and coordinate priority actions and management decisions, maintaining tracking mechanisms for timely implementation. Implement special projects and coordinate divisional management meetings. Draft correspondence and maintain records for the Office of the Director.
Strategic Planning and Executive Support: Coordinate divisional inputs for corporate planning and reporting exercises. Prepare briefing packages and presentations for the Director, ensuring quality and adherence to formats. Conduct background research to support executive meetings and strategic engagements.
Operations, Budget, and Human Resources Coordination: Collaborate with the SPD Business Center on operational, budgetary, and workforce planning activities. Manage recruitment and onboarding processes for consultants and personnel, liaising with various corporate service providers to facilitate timely implementation of operational processes.
Executive Engagements, High-Level Events, and Special Initiatives: Coordinate logistical preparations for senior management meetings and high-level engagements. Support the planning of divisional retreats and special initiatives. Serve as the focal point for UN Women high-level conferences and corporate events, ensuring successful delivery of executive engagements and divisional priorities.
Perform other duties as necessary for the efficient functioning of the Office and the Organization.
Required Qualifications: The position requires a Master's degree (or equivalent) in international development, public administration, public policy, or a relevant social science field. A first-level university degree combined with two additional years of qualifying experience may be accepted in lieu of the advanced degree. Candidates should possess at least 2 years of progressively responsible experience in programme coordination, executive support, or managing complex processes. Experience in supporting senior management and coordinating across multiple stakeholders in a fast-paced environment is essential, along with experience in coordinating high-level meetings and operational processes. Familiarity with UN Women or the United Nations system is considered an asset.
Educational Background: Candidates must hold a Master's degree (or equivalent) in a relevant field such as international development, public administration, or public policy. Alternatively, a first-level university degree combined with two additional years of qualifying experience may be accepted in lieu of the advanced degree, allowing for flexibility in educational qualifications while still ensuring a strong foundation in relevant disciplines.
Experience: The position requires a minimum of 2 years of progressively responsible experience in areas such as programme coordination, executive support, or managing complex multi-component processes. Candidates should have experience in supporting senior management and coordinating across multiple stakeholders, particularly in fast-paced environments. Experience in coordinating high-level meetings, events, or executive engagements is crucial, as is experience in operational, administrative, and human resources processes. Previous experience working at UN Women or within the United Nations system is advantageous and may enhance a candidate's suitability for the role.
Languages: Fluency in English is mandatory for this position. Knowledge of any other UN official language is considered an asset and may be beneficial in enhancing communication and collaboration within the organization and with external stakeholders.
Additional Notes: This consultancy is office-based and requires a full-time presence at UN Women premises. No official travel is expected as part of this consultancy. The position is designed to provide continuity during maternity leave and is expected to last for a duration of 10 months.
