Job Overview:
The Program Assistant position at the World Bank's Djibouti Country Office is a critical role that supports the Joint Country Representation and the World Bank Group (WBG) teams. The successful candidate will be responsible for managing a variety of administrative tasks in a fast-paced environment, ensuring the smooth operation of the office and providing high-quality assistance to senior staff. This role requires a proactive approach to problem-solving, excellent organizational skills, and the ability to handle competing demands effectively. The Program Assistant will be expected to maintain a high level of professionalism and discretion while managing sensitive information and communications. Duties and Responsibilities:
The Program Assistant will perform a wide range of duties, including but not limited to: managing priorities and workflow for the Joint Resident Representative and the Joint Representation Office; screening incoming documents and emails; preparing high-quality correspondence and meeting minutes; maintaining an effective network of contacts within the organization and externally; drafting, reviewing, and editing internal and external documents; coordinating schedules and agendas for operational teams; assisting in logistical preparations for missions, conferences, and workshops; maintaining up-to-date project files and distribution lists; and providing backup support to other administrative staff as needed. The role requires the ability to work independently, exercise sound judgment, and demonstrate initiative in addressing client needs and improving administrative processes.

Required Qualifications:
Candidates must possess a minimum of a Bachelor’s degree or an equivalent combination of education and experience. A minimum of seven years of relevant experience is required, with demonstrated experience in supervising administrative staff and working in international organizations being highly valued. The ideal candidate should have a strong understanding of institutional policies and procedures, excellent organizational skills, and the ability to manage multiple tasks effectively. Proficiency in Microsoft Office applications and relevant technology is essential, along with the capacity to coach less experienced staff. The candidate should also demonstrate versatility and adaptability in a dynamic work environment, with a proactive approach to learning and problem-solving.

Educational Background:
The educational background required for this position includes a Bachelor’s degree in a relevant field. Candidates with a combination of education and extensive experience in administrative support roles may also be considered. A strong academic background that demonstrates analytical and organizational skills will be advantageous.

Experience:
The position requires a minimum of seven years of relevant experience in administrative support, with a proven track record of managing diverse work environments and multitasking in fast-paced settings. Experience in international organizations is highly valued, and candidates should demonstrate maturity and professionalism in their previous roles. The ability to quickly grasp the World Bank's procedures and processes is essential for success in this position.

Languages:
The mandatory languages for this position are French and English. Proficiency in both languages is essential for effective communication within the organization and with external stakeholders. Additional language skills may be considered an asset but are not required.

This is a local TERM position with a duration of three years, based in the World Bank's office in Djibouti. Preference will be given to local talent who are authorized to work in Djibouti.
