Job Overview: The UN Intern for Administrative Support will work under the direct supervision of a designated individual from the Resident Coordinator's Office. Duties and Responsibilities:
Support the organization, coordination, and follow-up of administrative activities of the Resident Coordinator's Office.
Provide logistical support in planning and executing meetings, workshops, seminars, and institutional events, including coordination with participants, preparation of materials, and operational follow-up.
Conduct searches and identify potential suppliers for services, goods, and activities required by the office, in accordance with established norms and procedures.
Prepare market surveys and price comparisons to support procurement processes, including systematizing quotations and making preliminary recommendations.
Assist in the preparation, updating, and filing of administrative documentation, databases, contact lists, schedules, and activity records.
Collaborate in following up on internal administrative procedures, ensuring the organization and timely availability of required information.
Provide support in the preparation and editing of presentations, information notes, minutes, tracking tables, and other administrative documents.
Assist in coordinating with UN system agencies, government institutions, suppliers, and other partners to facilitate the implementation of office activities.
Perform other administrative, logistical, and operational support functions as assigned in line with the strategic priorities of the office.
Required Qualifications: Applicants must meet one of the following criteria: (a) be enrolled in or have completed the final academic year of an undergraduate university program (minimum of a bachelor's degree or equivalent), or (b) be enrolled in or have completed a postgraduate program (second university degree or equivalent, or higher). For this internship, studies in business administration, project management, logistics, executive secretarial studies, administrative assistance, office management, marketing, event organization, industrial engineering, or related disciplines will be highly valued. Applicants to the UN Internship Program do not need to have professional work experience; however, it is essential to have a field of study closely related to the type of internship being applied for. Applicants must be students in their final year of their first university degree (bachelor's or equivalent), or students in a master's or doctoral program or equivalent, or have completed a bachelor's, master's, or doctoral degree. It is required to provide proof of eligibility upon application, and an official certificate must be submitted later. Applicants should have knowledge of Microsoft Office (Word, Excel, PowerPoint, and Outlook) and experience in market price research and basic comparative analysis.
