Job Overview: The Executive Assistant position is located in the United Nations Resident Coordination Office (RCO) in Riyadh, Saudi Arabia. The role is crucial for ensuring the effective and efficient functioning of the Resident Coordinator's Front Office. The Executive Assistant will manage the RC's schedule, logistical requirements, and protocol procedures while maintaining confidentiality. The position requires a proactive approach to managing information flow, deadlines, and commitments. The Executive Assistant will also coordinate high-quality briefing materials for the RC, draft correspondence, manage travel arrangements, and assist in organizing official events. This role is integral to supporting the RC in fulfilling their responsibilities and ensuring smooth operations within the office.
Duties and Responsibilities:
Ensure effective and efficient functioning of the RC Front Office by maintaining the Resident Coordinator’s calendar, arranging appointments, and providing protocol coverage.
Coordinate high-quality briefing materials for the RC, ensuring all correspondence meets UN standards.
Draft key correspondence, including notes to files and minutes of meetings, and provide translation for official documents.
Manage travel logistics for the RC, including flight bookings and trip reports.
Maintain contact lists of high-level partners and assist in organizing official events.
Support effective communication within the office by maintaining filing systems and organizing coordination meetings.
Provide support to the RC in various matters, including documentation and travel arrangements.
Perform other relevant duties as assigned.
Required Qualifications: Candidates must possess a minimum of seven (7) years of experience in executive assistance, administrative support, or front office functions at a senior management level. Experience with the United Nations or similar international organizations is desirable. Candidates should demonstrate proficiency in supporting senior officials, including managing protocol arrangements and organizing high-level events. Experience in data analytics or related areas is a plus. Candidates must also have a strong understanding of administrative, financial, and human resources rules and regulations.
Educational Background: Completion of a high school diploma or equivalent is required. A Bachelor's or Advanced University Degree in Business Administration, Office Management, Communication, or related fields is preferred and would be an advantage for candidates.
Experience: A minimum of seven (7) years of relevant experience is required, with a reduction of two (2) years for candidates holding a first-level University degree. Experience in supporting senior officials or executive offices is essential, along with demonstrated experience in organizing meetings and events. Candidates should also have experience managing resources, including personnel and budget, to support communications and advocacy activities.
Languages: Fluency in English and Arabic is required for this position, with both languages being the working languages of the United Nations Secretariat. Candidates must demonstrate proficiency at UN Level II in reading, writing, listening, and speaking for both languages.
Additional Notes: This is a Fixed Term position with an initial appointment period of one (1) year, subject to availability of funds and budgetary approval. The position is subject to local recruitment, meaning applicants must be authorized to work in Saudi Arabia.
