Job Overview:
The Coordinator for the Industry, Partnerships and Policy Section plays a crucial role in supporting the administrative, financial, and organizational functions related to policy and partnerships within NATO. This position involves managing complex tasks that require a high level of coordination and efficiency. The incumbent will be responsible for providing committee support, contributing to the development of concept and policy papers, and serving as the secretary for the NATO Ukraine Council Working Group for Defence Technical Cooperation. The role demands a proactive approach to managing various projects and ensuring that the Section's objectives are met in a timely and effective manner.

Duties and Responsibilities:
The duties and responsibilities of the Coordinator include:
  • Information Management: Preparing documentation from Committee meetings, ensuring coordination and follow-up on the Section’s work on policy and partnerships, maintaining effective reminder systems for pending actions, and improving intranet webpages for the Section.
  • Financial Management: Ensuring adherence to financial procedures for the Section’s budget, preparing budget reports, managing programmatic funds, and maintaining records of financial transactions.
  • Project Management: Overseeing the execution of projects related to the Section’s activities, providing secretariat functions for the NATO-Ukraine Council Working Group, and advising on mission preparations.
  • People Management: Guiding staff, setting objectives, promoting a positive work environment, and providing feedback on performance.
  • Performing any other related duties as assigned.

Required Qualifications:
Candidates must possess a higher secondary education qualification with at least 6 years of relevant experience, or an upper vocational training/post-secondary degree in a relevant discipline with a minimum of 3 years of experience in administrative or project management roles. Additionally, candidates should have experience in organizing conferences and events, a strong working knowledge of software applications, particularly Microsoft SharePoint, and proficiency in NATO’s official languages (English/French) at specified levels. Project management certification and experience in budget planning are advantageous.

Educational Background:
The educational background required for this position includes a higher secondary education qualification or an upper vocational training/post-secondary degree in a relevant field. This educational foundation is essential for understanding the complexities of administrative and project management tasks associated with the role.

Experience:
The position requires a significant level of experience, specifically 6 years of post-related experience for candidates with a higher secondary education qualification, or 3 years for those with a relevant post-secondary degree. Experience in administrative roles, project management, and event organization is crucial for success in this position.

Languages:
Candidates must have advanced proficiency (Level V) in one of NATO's official languages (English or French) and elementary proficiency (Level II) in the other. Fluency in both languages is considered an advantage and may enhance a candidate's suitability for the role.

Additional Notes:
The successful applicant will be offered a definite duration contract of three years, with the possibility of an indefinite duration contract thereafter. If the candidate is seconded from a NATO member state, a similar contract will be offered, subject to national authority agreement.
