Job Overview:
The UNRWA Registration Assistant position is crucial for maintaining the integrity and accuracy of the registration system for Palestine refugees. The incumbent will report to the Area Registration Officer (ARO) at the area level and to the Field Eligibility and Registration Officer (FERO) at the Field Office level. The role involves receiving, checking, and verifying the authenticity of registration applications and related documentation submitted by registered persons. The assistant will respond to queries regarding UNRWA’s registration processes, review and approve applications for newborn registrations and deletions of deceased persons, and ensure that all registration applications are processed efficiently. The position also requires maintaining a computerized registration database, scanning documents, and distributing new registration cards while collecting old ones as instructed. The assistant will act on behalf of the ARO during their absence and perform additional duties as assigned by the supervisor. This role is essential for ensuring that the registration system remains relevant and up-to-date, thereby supporting the agency's mission to assist Palestine refugees effectively.

Duties and Responsibilities:
  • Receive, check, and verify the authenticity of registration applications and relevant documentation presented by registered persons to ensure accuracy before processing.
  • Respond to queries raised by registered persons regarding UNRWA’s registration in coordination with the ARO.
  • Review and approve registration applications for newborns and the deletion of deceased persons from registration records.
  • Initiate all registration applications concerning registered persons, including births, deaths, transfers, and splitting, to maintain an up-to-date registration system.
  • Scan required documents submitted by registered persons to ensure all necessary documentation is in the system.
  • Assist the FERO and/or ARO in maintaining a computerized registration database by entering, amending, and retrieving information to ensure effective registration processes.
  • Print and distribute new registration cards to registered persons/families and collect old cards as instructed.
  • Maintain index cards sorted for timely access and retrieval.

Required Qualifications:
Candidates must possess a post-secondary diploma in Business and office practice from an accredited educational institution or a related discipline. Additionally, candidates should demonstrate knowledge of the refugee community and the Agency's Relief and Social Services activities, which is considered a desirable qualification. The role requires a strong understanding of registration processes and the ability to handle sensitive information with discretion and professionalism.

Educational Background:
The educational requirement for this position is a post-secondary diploma in Business and office practice or a related field from an accredited institution. This educational background is essential for understanding the administrative and operational aspects of the registration process and for effectively managing the documentation and data entry tasks associated with the role.

Experience:
Candidates must have at least three years of progressively responsible and relevant working experience. This experience should ideally include involvement in administrative roles, data management, or similar positions that require attention to detail and the ability to work under pressure. Experience in working with refugee communities or in humanitarian settings is highly valued and can enhance a candidate's suitability for the position.

Languages:
For this job opening, proficiency in English and Arabic is required. English and French are the working languages of the United Nations Secretariat, but for this specific role, candidates must demonstrate a minimum proficiency level of UN Level II in reading, writing, listening, and speaking in English and UN Level I in Arabic. This language proficiency is crucial for effective communication with registered persons and for understanding documentation and procedures.

Additional Notes:
This position is a daily paid assignment for up to three months, with the possibility of extension based on satisfactory performance and the availability of funds. The daily rate for this position is $25.63, and the salary may be subject to a reduced work schedule. Additional benefits include one day of annual leave and one day of sick leave for each completed month of service. The vacancy is open to both internal and external candidates, but only those residing in Syria and within commuting distance of the duty station with authorization to work in Syria are eligible to apply.
