Job Overview:
The Administration Clerk position is an entry-level role within the UNOPS framework, specifically designed to support the implementation of the Technical Cooperation Project No. 24330, which focuses on strengthening educational infrastructure for traditional communities in Brazil. The role involves providing administrative support to project activities, including data collection, document management, and logistical coordination for travel and meetings. The successful candidate will be expected to work both remotely and on-site as required, ensuring effective communication and collaboration with project partners and stakeholders. This position is crucial for the operational success of the project, contributing to the overall goal of improving educational outcomes for indigenous and quilombola communities.

Duties and Responsibilities:
  • Provide operational support for the development, coordination, and implementation of project activities.
  • Assist in data collection for project analysis, products, and activities.
  • Support the monitoring of project activities and contracts.
  • Facilitate meetings, workshops, and participatory processes.
  • Provide administrative support for communication between the project team and partners, including document preparation and management.
  • Assist in travel planning and authorization in accordance with project requirements.
  • Support payment processes and maintain organized administrative records.
  • Participate in training and capacity-building initiatives related to project operations.

  • Perform other related tasks as assigned by the supervisor.

Required Qualifications:
  • High school diploma is required.
  • A degree in Law, Administration, Economics, International Relations, Social Sciences, or related fields is desirable and may substitute for some years of required experience.
  • Proficiency in Google Workspace (Docs, Sheets, Gmail, Calendar, etc.) is essential.
  • Experience in administrative support within project management is preferred.
  • Familiarity with national/international project execution is an advantage.

Educational Background:
Candidates must possess a completed high school diploma. A university degree in relevant fields such as Law, Administration, Economics, International Relations, or Social Sciences is preferred and can replace some of the required years of experience. A postgraduate degree in areas related to national cooperation projects is also desirable.

Experience:
A minimum of 3 years of experience in administrative support roles, particularly in project management, is required. Candidates with relevant academic qualifications may have reduced experience requirements. Experience with national or international project execution is considered an asset.

Languages:
Fluency in Portuguese is mandatory. Basic proficiency in English and Spanish is required, enabling effective communication in a multilingual environment.

Additional Notes:
This position is classified as an entry-level role under the Individual Contractor Agreement (ICA) framework, specifically at the LICA 3 level. The contract is regular and ongoing, subject to availability of funds and organizational needs. The role may require travel to remote indigenous and quilombola communities, with travel costs covered by UNOPS. Candidates must have the ability to work from home with a suitable environment, including a personal laptop, necessary software, and internet connectivity. Participation in meetings during business hours is essential.
