Job Overview:
The Support Services Intern at UNOPS plays a crucial role in ensuring the smooth operation of administrative, financial, and logistical processes within the organization. This position is designed for individuals who are eager to learn and contribute to the efficiency of internal operations. The intern will be expected to identify slow processes and propose digital solutions, demonstrating adaptability and problem-solving skills. The intern will work under the supervision of the Administration Associate, facilitating operational tasks that support the overall mission of UNOPS in delivering effective project outcomes.

Duties and Responsibilities:
The intern will be responsible for a variety of tasks, including but not limited to: assisting in the preparation, implementation, and monitoring of controls, processes, procedures, inventories, and management tools that enhance operational efficiency; supporting administrative and logistical processes for workshops, training sessions, meetings, and other events; ensuring compliance with UNOPS administrative policies and regulations; maintaining organized and accessible files for administration, procurement, and human resources; managing correspondence by receiving, registering, coding, distributing, and tracking incoming and outgoing mail; providing photocopying services as needed; facilitating effective communication within the project area; supporting procurement activities by following up with suppliers; temporarily covering administrative functions during the absence of the Administrative Assistant/Associate; assisting in the management and filing of payment records in the Finance area; validating bank guarantees through formal requests and follow-ups; reviewing petty cash reimbursement requests to ensure compliance with internal policies; monitoring compliance with regional and local indicators; and performing other related tasks as assigned by the supervisor.

Required Qualifications:
Candidates must possess a diversified high school diploma and be currently enrolled in or have graduated from a university program within the last three years. Preferred fields of study include Economics, Business Administration, Finance, Human Resources, Industrial Engineering, or related disciplines. The ideal candidate should demonstrate strong organizational skills, attention to detail, and the ability to manage multiple tasks effectively. Familiarity with Google Workspace and Microsoft Office, particularly basic spreadsheet skills, is essential. Experience in administrative and financial documentation management is highly valued, along with a proactive approach to achieving results and meeting deadlines.

Educational Background:
A diversified high school diploma is required. Candidates should be pursuing or have recently completed a university degree, preferably in fields such as Economics, Business Administration, Finance, Human Resources, Industrial Engineering, or similar areas. The educational background should not exceed three years since graduation, ensuring that candidates are up-to-date with current academic knowledge and practices relevant to the role.

Experience:

However, candidates should be available to commit to 40 hours per week. Previous internships or volunteer experiences in support areas such as finance, administration, human resources, accounting, or logistics will be highly regarded. Skills in document management, attention to detail, and a results-oriented mindset are essential for success in this role.

Languages:
Proficiency in Spanish at a native level is mandatory for this position. Intermediate proficiency in English is desirable, as it may facilitate communication in a diverse work environment and enhance the intern's ability to engage with international colleagues and stakeholders.

Additional Notes:
This internship is initially for a duration of five months, with the possibility of extension up to a maximum of one year, subject to budget availability, performance, and organizational requirements.
