Job Overview: The E T Temporary Program Assistant position is situated within the Talent Acquisition and Global Mobility department (HRDTM) of the World Bank Group’s Human Resources Vice Presidency. This department is responsible for overseeing talent acquisition and international mobility across the institution. The Global Talent Acquisition unit (HRDRE) serves as the centralized recruitment function, managing the full recruitment lifecycle from job launch through onboarding. The selected candidate will provide essential administrative, operational, and logistical support to the HRDRE Manager and team, ensuring smooth day-to-day coordination and effective delivery of team priorities. This role is crucial for maintaining the efficiency of the recruitment process and supporting the overall mission of the WBG.
Duties and Responsibilities: The E T Temporary Program Assistant will be responsible for a wide range of duties, including but not limited to: providing direct administrative support to the HRDRE Manager, managing calendars, coordinating meetings, arranging travel logistics, and preparing agendas. The assistant will also coordinate regular unit meetings, participate in weekly discussions to stay informed of team priorities, and provide logistical support for various HRDRE initiatives and events. Additionally, the role involves supporting onboarding activities for new hires, preparing and organizing briefing materials, managing purchase orders, and ensuring compliance with procurement and administrative procedures. The assistant will also facilitate knowledge management within the unit by organizing key documents and resources, assist with editing and quality-checking reports, and liaise with internal stakeholders to coordinate operational matters. Furthermore, the assistant will provide backup support to other HRDTM assistants and contribute to special projects as needed.
Required Qualifications: Candidates must possess a Bachelor’s degree and a minimum of 5 years of relevant professional experience, or an equivalent combination of education and experience. Advanced proficiency in relevant computer software, including MS-Office, Outlook, SAP, and PeopleSoft, is required. The ability to manage sensitive and confidential information discreetly is essential, along with demonstrated initiative and independence in addressing client needs. Candidates should also have the ability to improve work processes for efficiency, promote knowledge sharing, and collaborate effectively across teams. Fluency in written and spoken English is mandatory, and proficiency in other official languages is considered an advantage.
Educational Background: A Bachelor’s degree is required for this position, which serves as the foundational educational qualification. This educational background should ideally be complemented by relevant professional experience that aligns with the responsibilities of the role.
Experience: The position requires a minimum of 5 years of relevant professional experience. This experience should encompass administrative and operational support roles, ideally within a multicultural or international organization. Candidates should demonstrate a proven track record of managing multiple tasks and priorities effectively under pressure.
Languages: Fluency in written and spoken English is mandatory for this position, as the role involves producing reports, presentations, and correspondence. Command of other official languages is advantageous and may enhance a candidate's application.
Additional Notes: The position is a one-year appointment, renewable at the discretion of the World Bank Group, with a lifetime maximum ET appointment of three years. If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum.
