Job Overview: The Fleet Operations Coordinator position at CIMMYT is designed for a proactive, detail-oriented, and service-focused professional responsible for overseeing driver operations and fleet maintenance activities. This role is crucial in ensuring safe and efficient transportation services while planning, coordinating, and tracking preventive maintenance and repairs for fleet vehicles and buses. The coordinator will supervise drivers, manage operational costs, and ensure compliance with safety regulations. The position serves as a vital link between operations, vendors, and management, ensuring that fleet operations are safe, compliant, cost-effective, and reliable. The successful candidate will be expected to implement route optimization methodologies, develop training plans for drivers, and maintain accurate records of fleet operations.
Duties and Responsibilities: The duties and responsibilities of the Fleet Operations Coordinator include supervising and managing a team of drivers, ensuring compliance with assigned routes, schedules, service standards, and safety regulations. The coordinator will control and monitor fuel expenses and fuel efficiency for driver-operated vehicles, supervise toll expenses, and monitor expenditures related to travel allowances and per diem expenses. They will implement route optimization methodologies to improve efficiency and reduce operational costs while ensuring a balance between overtime hours and the drivers’ quality of life. Additionally, the coordinator will establish, monitor, and report key performance indicators (KPIs) for drivers and fleet operations, develop and implement training and continuous development plans for drivers, and manage driver schedules, performance, documentation, and customer service standards. In terms of fleet maintenance and asset management, the coordinator will plan, coordinate, and perform preventive maintenance and repair activities for fleet vehicles and buses, monitor vehicle inspections, breakdowns, and repair timelines to minimize downtime, and maintain the spare parts inventory. They will also coordinate maintenance activities with internal technicians and external service providers, ensure compliance with safety standards and traffic regulations, and track maintenance and operational costs to support cost-reduction initiatives. Furthermore, the coordinator will control and report fleet operational expenses, generate and validate drivers’ overtime, and maintain administrative and operational documentation for vehicles and drivers.
Required Qualifications: The position requires a Bachelor’s degree in Logistics, Administration, Transportation, Engineering, or a related field, with a preference for candidates who have a minimum of 5 years of experience in fleet operations, driver supervision, and/or fleet maintenance coordination. Candidates must be bilingual in Spanish and English, with a minimum B2 level proficiency. Strong leadership, decision-making, and problem-solving skills are essential, along with a working knowledge of vehicle maintenance, preventive maintenance programs, and fleet operations. Proficiency with fleet management systems, ERP, and technological tools is required, as well as advanced Excel and data analysis skills. Knowledge of transportation regulations, road safety, and compliance requirements is also necessary, along with the ability to manage vendors, negotiate services, and resolve conflicts. Experience working in a multicultural and international environment is highly valued.
Educational Background: Candidates should possess a Bachelor’s degree in a relevant field such as Logistics, Administration, Transportation, Engineering, or a related discipline. This educational background is essential to ensure that the candidate has the necessary theoretical knowledge and practical skills to effectively manage fleet operations and driver supervision.
Experience: The position requires a minimum of 5 years of experience in fleet operations, driver supervision, and/or fleet maintenance coordination. This level of experience is crucial for the candidate to effectively oversee the various responsibilities associated with managing a fleet and ensuring the safety and efficiency of transportation services.
Languages: Bilingual proficiency in Spanish and English is mandatory for this position, with a minimum B2 level in both languages.
