Job Overview:
The Fleet Analyst position is crucial for managing and optimizing vehicle availability and maintenance within CIMMYT's operations. This role involves overseeing fleet data management, ensuring regulatory compliance, and providing support to fleet users. The Fleet Analyst acts as the primary contact for vehicle-related services, ensuring that requests are resolved promptly through a service management system. The position requires a proactive approach to maintain accurate fleet records and to coordinate various aspects of fleet management, including maintenance planning and fuel administration. The Fleet Analyst will also be responsible for analyzing operational data and making data-driven recommendations to improve fleet performance and efficiency.

Duties and Responsibilities:
The Fleet Analyst will have a diverse set of responsibilities, including:
  • Ensuring optimal vehicle availability by balancing fleet capacity with operational demand, which includes managing assigned vehicle users, vehicles undergoing maintenance, and rental vehicle requirements.
  • Coordinating compliance with annual preventive maintenance programs and biannual emissions certifications for all institutional vehicles across CIMMYT-Mexico locations.
  • Providing guidance and support during the insurance claims process, ensuring timely follow-up and effective case management.
  • Administering the mobility service request platform, managing service tickets related to vehicle inspections, maintenance, and transportation requests.
  • Evaluating repair costs against insurance deductibles to recommend cost-effective solutions for vehicle damages.
  • Managing vehicle assignments, replacements, and returns, ensuring proper documentation and inspections are completed.
  • Analyzing maintenance performance and internal fleet processes, providing recommendations for improvements.
  • Preparing and validating operational data for weekly key performance indicators (KPIs) and ensuring timely submission for reporting.
  • Monitoring fuel consumption for pool vehicles and managing fuel allocations. 1
  • Serving as the primary contact with fuel providers to resolve issues and support vehicle users. 1
  • Maintaining accurate records of fleet operations and supporting continuous improvement initiatives as assigned by the supervisor.

Required Qualifications:
Candidates must possess a Bachelor’s degree in Business Administration, Logistics, Engineering, Transportation Management, or a related field. Additionally, they should have 4-5 years of experience in fleet management, transportation coordination, or logistics. Knowledge of vehicle maintenance processes and insurance claims follow-up is essential, along with experience in customer service and direct interaction with users. Proficiency in ERP systems, ticketing systems, and Microsoft Office applications, particularly Excel, is required. Strong organizational, analytical, and communication skills are also necessary for this role.

Educational Background:
The educational requirement for the Fleet Analyst position includes a Bachelor’s degree in a relevant field such as Business Administration, Logistics, Engineering, or Transportation Management. This educational background provides the foundational knowledge necessary for effective fleet management and operational coordination.

Experience:
The position requires candidates to have 4-5 years of relevant experience in fleet management, transportation coordination, or logistics. This experience should include knowledge of vehicle maintenance processes and the ability to manage multiple tasks in a fast-paced environment. Languages:
