Job Overview:
The position involves providing administrative, logistical, and financial support for the agreement between UNFPA and the Equality Fund. The successful candidate will ensure compliance with activities, operations, processes, and products related to the project. This role is crucial for the effective execution of the project and requires the ability to travel nationally to various cities and municipalities, necessitating physical capabilities and complete COVID vaccination. The work will be based in Bogotá, and the candidate will be expected to contribute to the overall mission of UNFPA by supporting the coordination of the agreement and managing the project's budget and financial reporting.

Duties and Responsibilities:
  • Develop and agree on a work plan to meet the objectives and expected results of the agreement.
  • Support the coordination of the agreement, monitor the project budget, and conduct periodic analysis" style="border-bottom: 1px dotted #007bff !important;">financial analysis and reporting as required by the project coordinator and UNFPA standards.
  • Prepare regular reports and financial analyses for project monitoring, ensuring proper documentation for accountability.
  • Review operational and procedural needs of the project periodically.
  • Attend necessary training and promote self-awareness according to existing norms.
  • Coordinate administrative processes with UNFPA's administrative team and keep the project coordinator informed of outcomes.
  • Facilitate financial and administrative management processes according to UNFPA protocols.
  • Generate administrative and financial reports as requested and prepare documentation for technical committee meetings.
  • Train project staff on procedures and share necessary documentation for activity legalization. 1
  • Organize documentation for contractor payment requests and ensure timely processing. 1
  • Design and implement monitoring tools for technical and financial execution of project actions. 1
  • Maintain confidentiality of all documents and information produced during the agreement execution. 1
  • Prepare necessary documents and logistics for virtual meetings or in-person events. 1
  • Provide transversal support to the Gender, Rights, and Interculturality Area of UNFPA in managing and implementing technical and administrative activities related to the agreement.

Required Qualifications:
Minimum educational requirements include a professional degree in social sciences, economics, administration, engineering, accounting, or related fields. Postgraduate studies in administration, social sciences, or other relevant areas are preferred. Candidates should have at least five years of relevant work experience in administrative roles, preferably in social projects. Experience in managing administrative processes, procurement, documentation management, and correspondence control is essential. Candidates should also have experience in organizing and coordinating logistics for meetings, workshops, and events, as well as in monitoring work plans, budgets, and activity execution.

Educational Background:
Candidates must hold a professional degree in fields such as social sciences, economics, administration, engineering, or accounting. A postgraduate degree in administration or related fields is highly desirable, as it aligns with the consultancy's objectives and enhances the candidate's qualifications for the role.

Experience:
A minimum of five years of relevant work experience in administrative positions is required, with a preference for experience in social projects. Candidates should demonstrate a strong background in managing administrative processes, including procurement, documentation, and correspondence management, as well as experience in organizing logistics for various events and activities.

Languages:
Fluency in Spanish is mandatory, with excellent command of the language required for effective communication. Proficiency in English is also desirable, as it may facilitate interactions with international partners and stakeholders.

Additional Notes:
The position requires full-time availability to fulfill responsibilities effectively. The selected candidate will work under the supervision of the Gender, Rights, and Interculturality Advisor. The role is based in Bogotá, and travel may be required for project-related activities.
