Job Overview: The Grants Management Specialist is a pivotal role within DRC Syria, responsible for the efficient management and maintenance of grants-related information, documentation, reporting, and processes. Reporting to the Grants Management Manager (GMM), the Specialist coordinates the compilation and review of donor narrative reports, ensuring compliance with external reporting deadlines and facilitating the necessary inputs for high-quality submissions. The role encompasses advising on donor regulations, reviewing contractual terms, managing deadlines, and overseeing the input and control of grants data in DRC’s Global Grants Management System (Dynamics) and SharePoint. The Specialist plays a crucial role in facilitating grants management processes, maintaining various trackers and tools, and coordinating monthly grant meetings. Additionally, the Specialist contributes to DRC Syria’s localization commitments by enhancing grant management practices with national partners and promoting capacity strengthening in donor compliance and financial accountability. The position also involves supporting proposal development processes and other grants-related tasks as delegated by the GMM and Head of Programme.
Duties and Responsibilities: The Grants Management Specialist's duties include facilitating the administration of grants management processes, promoting quality information management, ensuring DRC Dynamics is updated, maintaining internal grants trackers, and supporting the Finance team during audits. The Specialist is responsible for donor reporting deadlines, leading the coordination and finalization of donor narrative reports, and providing guidance to DRC staff on donor compliance. The role also involves supporting the Partnership Manager in conducting due diligence for new partnerships, participating in local partner capacity assessments, and assisting in the development of project proposals. Other tasks may be delegated by the GMM as required.
Required Qualifications: Candidates must possess excellent written English communication skills, with experience in writing and editing complex reports. A minimum of three years of professional experience in business development, reporting, or grants management within an NGO/INGO is required. Familiarity with grant management and donor reporting, as well as inter-departmental coordination, is essential. Understanding localization principles and equitable partnership frameworks in humanitarian programming is also necessary. Candidates should demonstrate cultural sensitivity, adaptability, and the ability to manage a high workload while maintaining strong communication and interpersonal skills. A commitment to humanitarian principles and DRC values is crucial, along with a strong understanding of global protection sector standards and Results-Based Protection.
Educational Background: A Bachelor of Arts or other relevant degree is required for this position, ensuring that candidates have a solid educational foundation to support their role in grants management and reporting.
Experience: The position requires at least three years of professional work experience in relevant fields such as business development, reporting, or grants management, preferably within an NGO or INGO context. Experience with grant management processes and donor reporting is essential, along with a proven ability to manage stakeholders effectively and coordinate across departments.
Languages: Fluency in English and Arabic is mandatory for this position, ensuring effective communication with diverse stakeholders and partners.
