Job Overview: The Administrative Support position is crucial for the effective functioning of the WHO Division of Pacific Technical Support. The incumbent will be responsible for providing comprehensive administrative assistance to staff members within the Division/Country Office. This includes organizing meetings, workshops, and seminars, as well as managing correspondence and documentation. The role requires a high level of attention to detail and the ability to maintain organized records and filing systems. The incumbent will also be expected to assist in the preparation of materials for meetings and provide backup support to colleagues during events. This position is essential for ensuring smooth operations within the office and facilitating communication among team members and external stakeholders.
Duties and Responsibilities: The incumbent will perform a variety of duties including but not limited to: organizing meetings, workshops, and seminars; preparing and formatting documents, tables, and reports; maintaining correspondence logs and updating office records; answering telephone calls and responding to queries; obtaining and disseminating information from various sources; maintaining a comprehensive filing system; providing assistance during meetings and events; managing the front desk and welcoming visitors; supporting shipment customs clearance processes; providing backup support to the Registry Clerk; and performing any other duties as assigned. The role requires a proactive approach to problem-solving and the ability to work collaboratively with colleagues.
Required Qualifications: Candidates must possess essential qualifications including completion of secondary school or equivalent training. Desirable qualifications include training or certification in office management or administration, as well as a valid driver’s license. The WHO only considers higher educational qualifications obtained from accredited institutions recognized in the World Higher Education Database (WHED).
Educational Background: The educational background required for this position includes a minimum of secondary school completion. Additional training or certification in office management or administration is desirable. Candidates must ensure that their educational qualifications are recognized by the WHO and listed in the WHED.
Experience: A minimum of 2 years of clerical experience in an administrative or office environment is essential for this position. Desirable experience includes working with government agencies or non-governmental organizations, as well as experience with WHO or another UN agency. Candidates should demonstrate a solid understanding of office procedures and practices.
Languages: Fluency in the English language is essential for this position. Knowledge of the local language is considered desirable and may enhance communication within the local context.
Additional Notes: The position offers an attractive remuneration package, starting with an annual net base salary of FJD 25,191, subject to mandatory deductions for pension contributions and health insurance.
