Job Overview: The Programme Management Assistant plays a crucial role in supporting the planning and implementation of the programme of work within the Director's office at the Subregional Headquarters. This position involves managing a large and complex component of the office's initiatives, ensuring that project documents are completed and submitted for approval. The assistant will provide executive and administrative support, including coordinating schedules, drafting correspondence, and preparing working translations. The role requires effective communication with internal and external stakeholders, maintaining continuity of office operations, and assisting with data collection and analysis. The Programme Management Assistant will also be responsible for preparing reports, maintaining files, and providing guidance to junior staff, making this position integral to the smooth functioning of the Director's office.
Duties and Responsibilities: The Programme Management Assistant will have a diverse set of responsibilities, including:
Assisting in the planning and implementation of the programme of work for the Director's office.
Coordinating the preparation of project proposals and monitoring their status.
Providing executive and administrative support, including managing schedules and meetings, drafting correspondence, and preparing documents for signature.
Acting as a liaison with stakeholders to ensure timely communication of directives and updates.
Supporting travel arrangements and maintaining contact databases.
Drafting, reviewing, and editing correspondence and documents for the Director's office.
Maintaining and updating electronic and paper files, as well as internal databases.
Designing and generating reports and statistical tables.
Assisting with data collection and analysis for decision-making purposes. 1

Performing other duties as assigned by the Director.
Required Qualifications: Candidates must possess a high school diploma or equivalent. For positions in the General Service category, it is essential to indicate relevant information confirming completion of high school in the Applicant Profile. Additionally, candidates should have at least seven years of experience in programme or project administration, technical cooperation, or a related area. This requirement is reduced to five years for candidates with a first-level university degree or higher. Experience in data analytics or related fields is desirable, as is familiarity with enterprise resource planning systems such as SAP.
