Job Posting Organization:
The position is located within the Common Administrative Platform at United Nations Headquarters, known as the One Executive Office (One EO), under the Division of Administration in the Department of Operational Support (DOS). One EO commenced its transition phase on January 1, 2026, as part of the UN80 reform initiative, which aims to consolidate common administrative functions across various Secretariat entities into unified service platforms. The organization provides a comprehensive range of administrative and operational services required by New York-based Secretariat client entities to fulfill their mandates, including human resources management, financial administration, travel, and general administrative support.

Job Overview:
The Human Resources Assistant will play a crucial role in supporting the activities related to staff onboarding through the Talent Management System (TMS), such as Inspira. This position requires advising staff and selected candidates on visa matters and onboarding procedures, coordinating with relevant parties on all steps related to onboarding, and assisting in initiating and following up on reference checks and academic verifications. The role also involves processing personnel actions through Umoja, ensuring accuracy and compliance with established rules and procedures, and providing advice on classification procedures. The Human Resources Assistant will compile recruitment data, monitor timelines, and ensure service delivery standards are met. Additionally, the role includes processing actions related to benefits and entitlements, maintaining HR-related automated systems and databases, conducting exit interviews, and providing general office support. The assistant will also be responsible for training and supervising new and junior staff within the unit, making this position integral to the HR operations of the organization.

Duties and Responsibilities:
The Human Resources Assistant will be responsible for a variety of duties, including but not limited to: supporting staff onboarding activities through the Talent Management System; advising staff and selected candidates on visa matters; coordinating onboarding steps with relevant parties; initiating and following up on reference checks and academic verifications; processing personnel actions through Umoja; ensuring classification documents are on file; providing advice on classification procedures; compiling recruitment data; processing actions related to benefits and entitlements; maintaining HR-related automated systems; conducting exit interviews; preparing monitoring reports; providing general office support; training and supervising new and junior staff; and performing other duties as required.

Required Qualifications:
Candidates must possess a minimum of seven (7) years of progressively responsible experience in human resources management, administrative services, or a related area. This requirement is reduced to five (5) years for candidates who hold a first-level university degree or higher. Experience in the implementation of the United Nations common system or similar international organization's human resources policies is desirable. Additionally, experience in the administration of staff entitlements and benefits using Enterprise Resource Planning (ERP) systems such as SAP (UMOJA) or equivalent is also desirable.

Educational Background:
A high school diploma or equivalent is required for this position. There are no specific job-specific qualifications mentioned, but a first-level university degree or higher can reduce the required years of experience.

Experience:
The position requires a minimum of seven (7) years of progressively responsible experience in human resources management, administrative services, or a related area. For candidates with a first-level university degree or higher, the minimum experience requirement is reduced to five (5) years. Relevant experience in the implementation of the United Nations common system or similar international organizations' human resources policies is considered an asset.

Languages:
English is required for this position, with a minimum proficiency level of UN Level II in reading, writing, listening, and speaking. French is also a working language of the United Nations Secretariat, but proficiency in French is not mandatory for this position.

The appointment or assignment against this position is for an initial period of one year, with the possibility of renewal subject to the availability of the post or funds. Staff members are subject to the authority of the Secretary-General and may be assigned to various functions in accordance with established rules and procedures.
