Job Overview: The Administrative Supply Intern position is designed for individuals seeking practical experience in an international humanitarian organization. The intern will work under the direct supervision of a designated supervisor within the Supply Operational Support Section. The role involves supporting the organization and maintenance of shared information and documentation systems, assisting with planning and deadline tracking, and providing coordination support for communication-related tasks. The intern will gain exposure to various aspects of shared services, supply support, records and knowledge management, and internal coordination. The ideal candidate should be highly organized, detail-oriented, and proficient in using Microsoft 365 tools, particularly Excel. This internship offers a unique opportunity to develop skills in administrative organization, project coordination, and communications workflows.
Duties and Responsibilities: The intern will be responsible for a variety of tasks under the supervision of the designated supervisor, including:
Records, filing, and SharePoint support: Organizing and maintaining the team’s shared filing system on SharePoint, reviewing folders for duplicates and outdated materials, applying naming conventions and version control, maintaining trackers for key folders and document owners, and supporting periodic clean-up and archiving exercises.
Work planning and deadline tracking: Updating workplans, milestone trackers, and action logs, consolidating inputs from unit leads, maintaining a calendar of deadlines, and preparing progress summaries for internal follow-up.
Documentation and materials compilation: Assisting unit leads in compiling and formatting documents, conducting quality control checks, and maintaining a repository of standard templates and guidance documents.
Communications coordination support: Liaising with communications focal points, preparing internal communication products, and ensuring that materials are stored correctly.
Coordination and general support: Preparing meeting notes, supporting the organization of meetings, and assisting with other administrative tasks as assigned.
Required Qualifications: Candidates must meet the following eligibility criteria to be considered for the internship: they should be recent graduates (having completed studies within two years of applying) or current students in a graduate or undergraduate program from an accredited university. Candidates must have completed at least two years of undergraduate studies in a relevant field and must not have exhausted the maximum cumulative internship period with UNHCR. Additionally, candidates should not have an immediate relative relationship restricted under the UNHCR internship framework.
Educational Background: The preferred educational background for this role includes fields such as Business Administration, Information Management, Communications, Project Management, Public Administration, International Relations, Records Management, Knowledge Management, or other relevant disciplines. A strong command of Microsoft Office applications, particularly Excel, Word, Outlook, and PowerPoint, is essential. Familiarity with SharePoint and general digital filing tools is also important.
Experience: The position requires candidates to have a strong command of Microsoft Office applications and a good working knowledge of SharePoint and Teams. Experience in supporting shared filing systems, records management, documentation coordination, or knowledge-management workflows is desirable. Familiarity with project planning or tracking tools and experience in communications-related work will be considered an asset.
Languages: The first required language for this position is English. Knowledge of another UN language is considered an asset, enhancing the candidate's profile for the role.
