Job Overview:
The Administrative Officer position at UNRWA involves a range of responsibilities aimed at ensuring the smooth operation of the Jerusalem Area Office. The incumbent will be responsible for preparing weekly situation reports that provide timely and accurate updates to support decision-making and coordination efforts. Additionally, the role includes managing all Cash-for-Work (CfW) activities related to the Jerusalem Area, which encompasses planning, coordinating distributions, maintaining records, and preparing detailed implementation reports. The officer will also prepare quarterly reports summarizing departmental accomplishments, manage the office's operational budget, and oversee procurement activities, ensuring compliance with safety standards and efficient logistical operations. The position requires strong leadership skills, as the officer will manage a team of administrative and general services assistants, providing guidance and ensuring the efficient completion of tasks. Duties and Responsibilities:
The duties and responsibilities of the Administrative Officer include:
  • Preparing weekly situation reports for the Jerusalem area to support decision-making and coordination.
  • Managing all Cash-for-Work (CfW) activities, including planning and coordinating distributions, maintaining records, and preparing implementation reports.
  • Preparing quarterly reports summarizing departmental accomplishments and ensuring data accuracy.
  • Managing the office operational budget and project budget estimates, monitoring expenditures, and preparing financial reports.
  • Overseeing procurement activities, including tendering and maintaining inventory records.
  • Conducting regular inspections of facilities to ensure compliance with safety standards and identifying maintenance needs.
  • Compiling and analyzing statistical data related to departmental activities and preparing operational reports.
  • Organizing meetings, workshops, and events as required.
  • Leading and managing a team of administrative assistants, providing guidance and ensuring task completion. 1

  • Performing other duties as assigned by the supervisor.

Required Qualifications:
Candidates must possess a first university degree from an accredited institution in business administration, finance, procurement, or a related field. Additionally, candidates should have at least three years of experience in administrative work, human resources, or office management. It is essential for candidates to indicate their current involvement in outside activities, as this information is required for the application process. Educational Background:

Experience:
Candidates are required to have a minimum of three years of relevant experience in administrative work, human resources, or office management. This experience should demonstrate the ability to manage office operations effectively, oversee budgets, and lead a team of administrative staff. Experience in a UN or similar international organization is advantageous but not mandatory.

Languages:
For this position, proficiency in English and Arabic is required, with both languages being the working languages of the United Nations Secretariat. Candidates must demonstrate a minimum level of proficiency in reading, writing, listening, and speaking in both languages, as per the UN Language Framework. Knowledge of French is considered an asset but is not mandatory.

Additional Notes:
The position is offered as a Limited Duration Contract (LDC) with a duration until December 31, 2026, with the possibility of extension based on funding availability and performance. The monthly basic salary for this position is JOD 1,025.30, and additional benefits include compulsory medical insurance, 30 days of annual leave (pro-rated), sick leave, maternity leave, and paternity leave. The vacancy is open to both internal and external candidates, but only those residing in West Bank or Jerusalem and authorized to work in the duty station are eligible to apply.
